Voter Administration Specialist I
MAJOR FUNCTION
Responsible clerical work with voter registration, customer service, and list maintenance activities. Reports directly to the Voter Administration Coordinator.
ILLUSTRATIVE DUTIES… functions in one or more of the following areas:
Responsible for providing excellent customer service at front counters assisting citizens as needed
Responsible for telephone reception to include transferring calls, taking messages, and the operation of answering machine(s) where applicable, to include distribution of messages
Voter Focus permissions set to VAS 1
Responsible for processing voter registrations as distributed according to policies and procedures
Responsible for scanning voter registrations and electronically clips signatures from voter registration applications for submission to the Florida Voter Registration System (FVRS)
Responsible for daily editing of all work processed by other staff members to ensure accuracy of data entered utilizing paper records as well as electronic records – including DMV receipts when applicable
Responsible for maintaining public email addresses including verification of said email addresses
Responsible for contacting voters via telephone/email for clarification of registration information as needed
Responsible for generating notices to voters with problematic applications and prepares for mailing
Responsible for preparing batch mailing of scheduled letters/postcards to voters
Responsible for processing in-bound daily mail and dispersing to designated staff
Assists in preparation of out-bound daily mailings including batch mailing of scheduled letters/postcards to voters
Other responsibilities may include …
- Assist with projects like list maintenance activities, file maintenance and database clean-up, signature updates, etc.
· Assists with vote-by-mail ballot processes as needed
· Assist with candidate/initiative petitions as needed
· Assist with Notary Services and maintaining active credentials if applicable
Performs related work and other duties as required
KNOWLEDGE, ABILITIES AND SKILLS
- Knowledge of Business English, spelling, and arithmetic
- Knowledge of office practices and procedures
- Knowledge of election laws and procedures
- Knowledge of the procedural regulations applicable to the Office of the Supervisor of Elections
- Ability to meet and deal effectively with other employees and the general public
- Ability to understand and carry out verbal and written instructions
- Ability to make decisions in accordance with laws and regulations and apply those directly to work problems
- Ability to operate standard computer and other office equipment
- Working knowledge of laptops/personal computers and software applications including word processing and spreadsheets
MINIMUM QUALIFICATIONS
Graduation from an accredited high school or possession of an acceptable equivalency diploma
Experience in Customer service, or public relations
A comparable amount of training or experience may be substituted for the minimum qualifications
MANDATORY REQUIREMENTS
Must have a current Florida Driver License
Must be a registered voter in the state of Florida
Able and available to work extended hours and weekend hours as needed, with little or no advance notice
Job Type: Full-time
Pay: $15.89 - $27.18 per hour
Expected hours: 37.5 per week
