Employment Type : Part Time, 15 - 19 hours / week onsite, with occasional evening and weekend work
FLSA Status : Non-Exempt
Salary Range : $20 - $23 / hr.
Reports to : Director of the Office for Family Life and Spirituality
Position Overview : The Administrative Assistant provides support in the day-to-day operations of the mission and ministry of the diocesan Office for Family Life & Spirituality.
Primary Responsibilities
- Performs clerical / secretarial duties for supervisor and staff.
- Maintains inventory of supplies (i.e. stationary, books, fliers, etc.) and orders supplies, as needed.
- Manages registrations in our database and communicates positively with engaged couples attending our marriage preparation programs.
- Helps maintain Flocknote database.
- Prepares manuals and packets of information for presentations and workshops.
- Provides hospitality and helps set up for various events.
- Makes deposits and check requests and pays invoices.
- Collaborates and works as a team with other Family Life Office staff, including regular communication with supervisor.
- Responds efficiently to emails and phone calls with patience, compassion, and pastoral sensitivity. Sorts and processes incoming mail.
- Relieves main Pastoral Center receptionist, as needed.
- Stays organized by maintaining an extensive and running “to-do list” and being able to prioritize and keep track of multiple tasks with different end dates.
- Other duties as assigned.

While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the office, as well as maneuver throughout the facility to attend meetings, briefings, and other work-related events. The employee may be required to conduct trips to, from, and within various city and county-wide locations to attend meetings or events. The employee must occasionally lift and / or move up to 15 pounds.
