Job Description: Reporting to the CEO, the Director of Operations provides day-to-day leadership within the organization including advice, guidance, direction, and authorization to achieve the administrative objectives in alignment with the ongoing strategic plan. Works in tandem with Director of Behavioral Health to provide excellence in clinical and nonclinical services.
Essential Duties and Responsibilities: Responsible for selection, assessment, evaluation, development, coaching, and counseling of direct reports in accordance with the organization’s vision and values. Provide timely, accurate and complete reports on the operation of the services including, but not limited to measures and effectiveness of achieving operational performance. Create and maintain proper operational controls, administrative and reporting procedures and systems to meet and exceed the administrative goals of the organization. Motivate, lead and mentor a high performing and engaged team. Identify, grow and develop management and leadership talent. Direct administrative staff to ensure departmental compliance and reporting in alignment with the ongoing strategic plan. Assume responsibility of resourcing and managing materials within the organization. Positively and professionally, represent the organization with internal and external customers, other stakeholders and the public.
Primary Duties and Responsibilities:
Lead and oversee key operational functions to include: operational oversight of business practices, sustainability for future success, space planning development, parking plan, facilities management and oversight, security oversight, emergency management, staff safety support, risk management support, analysis of growth opportunities, program and service development and implementation. Continuously monitor and make recommendations regarding staff roles as they relate to the business model. Maintain compliance with all contracting organizations. Responsible for managing and maintaining vendor relationships within the organization in coordination with the director of finance. Regularly review and uphold office policies and procedures to ensure all programs are compliant with federal and state laws. Facilitate and attend specific required meetings including, but not limited to: Leadership, Board and quarterly performance evaluations with managers to include review of the subordinate’s evaluations. Develop a program evaluation framework to assess the strengths of the program and to identify areas for improvement based on metrics. Develop and sustain high performing managers and teams. Ensure that activities operate within the policies and procedures of the organization. Monitor and report critical operational success factors including financial indicators, census and volumes, value improvement, customer service and satisfaction metrics, retention, employee engagement, utilization trending, referral patterns and other operational reporting as defined. Lead the accreditation process for the organization to maintain constant readiness and compliance with identified standards. Responsible for IT systems management and maintenance. Responsible for any legal issues that may affect the organization. Other duties as assigned
In Coordination with the Director of Finance:
Ensure that the program operates within the approved budget.
Monitor and approve all budgeted program expenditures.
Monitor copays, collections and monthly reconciliations with business support staff.
Monitor monthly reconciliation and receipting of philanthropic donations and sponsorships.
In Coordination with the Director of Behavioral Health:
Identify and evaluate the risks associated with program activities and take appropriate action to control the risks.
Work in tandem with Behavioral Health Services Director to provide excellence in clinical and nonclinical services
Cultivate positive relationships and maintain an environment of collaboration/integration at all levels of the organization
In Coordination with the Director of Human Resources:
Onboard administrative staff and ensure training on policy and procedures is met.
Regularly review and uphold office policies and procedures to ensure all programs and staff are compliant with federal and state law.
Responsible for HIPAA violation investigations and resolutions
Educational Requirements: Bachelor’s degree in Health Administration, Business, or Office Management. Preferred Master’s degree in Public/Health Administration, Business Administration and/or related field.
