Position Summary
The Front Desk Receptionist will be the first point of contact for patients, ensuring they have a positive experience from the moment they enter the clinic. This role involves managing administrative tasks, answering calls, scheduling appointments, insurance verification and eligibility oversight, collection of fees and assisting with patient inquiries in a professional and efficient manner.
Key Responsibilities
- Greet and check-in patients in a courteous and professional manner.
- Schedule and confirm appointments, including follow-ups and rescheduling when necessary.
- Answer phone calls, respond to patient inquiries, and direct calls to the appropriate medical staff.
- Verify patient information, including insurance details and personal data.
- Maintain accurate and up-to-date patient records in the clinic's system.
- Collect co-pays, process payments, and issue receipts.
- Assist patients with completing necessary forms and documentation.
- Ensure the front desk and waiting area are neat, organized, and welcoming.
- Manage incoming and outgoing mail, faxes, and other correspondence.
- Coordinate with medical staff to ensure smooth patient flow and assist with any administrative needs.
- Assist with filing and maintaining patient charts, both electronically and physically.
- Manage office inventory and supply needs.
- Comply with clinic policies and HIPAA regulations regarding patient confidentiality and privacy.
- Other duties as requested.
Requirements and Qualifications
- High school diploma or equivalent required.
- Minimum of 2 years in a healthcare setting, preferably a medical clinic
- Previous experience in a medical or healthcare setting preferred.
- Strong communication skills, both verbal and written.
- Excellent customer service skills and a friendly, professional demeanor.
- Proficient in using office equipment (phone systems, computers, fax machines, etc.).
- Ability to multi-task in a fast-paced environment while maintaining attention to detail.
- Strong organizational and time management skills.
- Ability to handle sensitive and confidential information with discretion.
- Knowledge of insurance and medical terminology.
- Experience with EMR/practice management systems and payor websites
