Function
Under general supervision of and reporting directly to Partners, serves as a confidential assistant and is responsible for performing various administrative support functions.
Duties And Responsibilities
- Responsible for the efficient, effective, and professional provision of administrative support for the partners' office activities.
- Assist with the coordination of department activities, including day-to-day and long-range schedules of meetings, conferences, and/or events
- Arrange travel and prepare itineraries
- Update calendar with travel/meeting information
- Coordinate internal meetings
- Coordinate meetings with individuals outside of the company
- Gather and organize materials for presentations, meetings, and trips
- Plan, organize, and coordinate own workload throughout the day
- Manage and maintain electronic storage and retrieval systems with minimal supervision, including confidential files
- Represent Pathway by serving as the initial contact for the Partners being supported
- Use appropriate judgment and knowledge to respond to inquiries from Pathway staff or refer to the appropriate party
- Provide general clerical and administrative support
- Prepare and process memos and letters to clients, potential clients
- Route calls to appropriate staff, check voicemail, record and distribute messages
- Provide any personal assistance the Partners may need (i.e., personal travel)
- Assist in binding, scanning, distributing, and printing materials
Supervision Received/Exercised
- Perform activities under the direct supervision of the Partners
- May manage and direct own tasks and projects with minimal or no supervision
Knowledge/Skills/Abilities
- Maintain strict confidentiality.
- Set priorities and meet inflexible deadlines using your good judgment (e.g., oversee travel for newly added/canceled meetings)
- Represent the Partners as assigned, always presenting a positive, professional image to the general public and other departments.
- Exercise independent judgment to effectively plan, coordinate, and organize various administrative support activities.
- Work independently within broad policies and procedures.
- Acute attention to accuracy and detail.
- Must be well organized and exercise clear thought processes.
- Possess excellent follow-up skills.
- Sharpened multi-tasking skills.
- Polished written and verbal communication skills in working with clients, general partners, marketing staff, legal counsel, co-workers, subordinates, and management in a clear, concise, diplomatic manner.
- Communicate with co-workers, management, and the general public clearly, concisely and diplomatically.
- Work cooperatively with others as a member of a service-oriented team.
- Proficient in Microsoft Word and able to learn new computer skills and new software easily and quickly
