SUMMARY:
This position is accountable for providing administrative and secretarial support to the COO as
well as to Directors and members of the management and supervisory staff as needed.
Additionally, this position will support operations in an administrative function. This position will
interact with those seeking contact with management externally.
Duties and Responsibilities:
- Prompt and regular attendance at work.
- Receive, screen and direct incoming telephone calls and mail, take messages and/or page as necessary.
- Greet and provide assistance, guidance and direction to visitors and clients. Maintain a positive “customer-service” approach at all times.
- Assist COO & Directors with business needs
- Provides administrative assistance including, but not limited to creating documents, data entry, travel arrangements and expense reimbursements
- Responsible for daily mail distribution, express mail, certified and employee mail.
- Skills in interpersonal relations to be used within the organization and with the public.
- Responsible for putting together, mailing and logging recruitment packets.
- Responsible for entering new hire data into systems.
- Responsible for the inventory count of office supplies.
- Restock/inventory of paperwork in the lobby.
- Responsible for assisting in CAAS accreditation
- Responsible for planning and overseeing EMS week activities and yearly Holiday party.
- Responsible for complaint collection
- Assist organization with scheduling
- Perform other such duties as may be required
Minimum Qualifications:
- Valid Drivers’ License
- High school diploma or equivalent
- Effective oral and written communication skills.
- Effective computer skills including knowledge of Excel, Microsoft Word, Access.
