Patients R Waiting is a nonprofit organization dedicated to eliminating health disparities by increasing diversity in medicine. We have 3 areas of focus: increasing the pipeline of minority clinicians, making that pipeline less leaky, and supporting minority clinicians in practice. Housed within Patients R Waiting is the Diversifying Doulas Initiative (DDI). The mission of DDI is to decrease maternal morbidity and mortality in birthing people of color through doula care. A doula is a professionally trained birth support person who cares for birthing people prenatally, during labor, and postpartum. DDI received grant funding that enables us to amplify the work of DDI throughout the Commonwealth of Pennsylvania.
Role Description
This is a full-time, on-site Executive Grant Administrative Assistant role located in Lancaster, PA. The Executive Grant Administrative Assistant is responsible for managing the entire lifecycle of grants, including identifying funding opportunities, preparing grant applications, monitoring project progress, ensuring compliance with grant guidelines, and submitting required reports to funders, essentially acting as the primary point of contact between DDI and its grant sources throughout the funding process. The Administrator will be responsible for providing administrative support, maintaining communication, managing executive schedules, and utilizing strong clerical skills to ensure office operations run smoothly.
Key responsibilities of the Grant Administrator include:
- Researching funding sources:
- Identifying potential grant opportunities that align with DDI's goals and priorities.
- Developing grant proposals:
- Writing compelling grant applications, including project narratives, budgets, and supporting documentation, to secure funding.
- Grant submission and tracking:
- Submitting grant proposals on time, managing deadlines, and tracking the status of applications.
- Post-award management:
- Overseeing the implementation of funded projects, monitoring budget expenditures, and ensuring compliance with grant terms and conditions.
- Reporting and communication:
- Preparing regular progress reports to funders, including financial updates and performance metrics.
- Compliance oversight:
- Ensuring DDI adheres to all grant-related regulations and reporting requirements.
- Collaboration with program staff:
- Working closely with the DDI team to align grant activities with organizational goals and objectives.
- Data analysis:
- Evaluating the impact of funded projects and using data to inform future grant applications.
Qualifications:
- Strong writing and editing skills to craft effective grant proposals
- Detail-oriented with excellent organizational skills to manage multiple grants simultaneously
- Understanding of financial management principles to review budgets and track expenditures
- Knowledge of grant-making guidelines and compliance requirements at various funding agencies
- Proficiency in data analysis and reporting
- Excellent communication skills to interact with funders, program staff, and other stakeholders
- Experience with grant management software
- Associate's or Bachelor's degree in nonprofit management, public policy, business administration, or a related field
