Work Schedule:
7:30 am – 5:00 pm Monday – Thursday
7:30 am – 12:30 pm Friday

We are currently seeking a proactive, organized, and detail-oriented Office Manager/Accounts receivable Clerk to lead our administrative operations and help keep our office running smoothly.

Job Summary:
As our Office Manager, you'll be at the heart of our workplace, responsible for organizing administrative tasks, supporting our team, and maintaining a productive, positive work environment and customer experience. This is an excellent opportunity for someone who thrives on efficiency, communication, and problem-solving.

Key Responsibilities

  • Oversee daily office operations and administrative tasks
  • Manage accounts receivable, including invoicing, collections, payment processing, payment terms, sales tax status and contact information.
  • Monitor accounts receivable aging reports and follow up on overdue accounts
  • Create and monitor accounts receivables in our Customer Relationship Management Software (CRM) as well as Accounting Software.
  • Collaborate with the sales and project management team to resolve billing discrepancies
  • Collaborate with team members to improve office efficiency
  • Provide exceptional customer service to clients and vendors
  • Assist in inventory management and office supply procurement
  • Assist with month-end closing processes and financial reporting
  • Provide customer service to phone in and walk in customers, utilizing Customer Relationship Management Software (CRM) as necessary
  • Coordinate meetings, appointments, and travel arrangements
  • Support HR tasks such as onboarding, timekeeping, and maintaining personnel records

Education/Experience:

  • Must have a high school diploma or equivalent.
  • Associate or bachelor's degree in business administration or related field, preferred but not required.
  • Proven experience in office management or administrative roles
  • Strong organizational skills
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Must be proficient in Microsoft Office.
  • Quickbooks Online knowledge is a plus.
