We are currently seeking a proactive, organized, and detail-oriented Office Manager/Accounts receivable Clerk to lead our administrative operations and help keep our office running smoothly.
Job Summary:
As our Office Manager, you'll be at the heart of our workplace, responsible for organizing administrative tasks, supporting our team, and maintaining a productive, positive work environment and customer experience. This is an excellent opportunity for someone who thrives on efficiency, communication, and problem-solving.
Key Responsibilities
- Oversee daily office operations and administrative tasks
- Manage accounts receivable, including invoicing, collections, payment processing, payment terms, sales tax status and contact information.
- Monitor accounts receivable aging reports and follow up on overdue accounts
- Create and monitor accounts receivables in our Customer Relationship Management Software (CRM) as well as Accounting Software.
- Collaborate with the sales and project management team to resolve billing discrepancies
- Collaborate with team members to improve office efficiency
- Provide exceptional customer service to clients and vendors
- Assist in inventory management and office supply procurement
- Assist with month-end closing processes and financial reporting
- Provide customer service to phone in and walk in customers, utilizing Customer Relationship Management Software (CRM) as necessary
- Coordinate meetings, appointments, and travel arrangements
- Support HR tasks such as onboarding, timekeeping, and maintaining personnel records
Education/Experience:
- Must have a high school diploma or equivalent.
- Associate or bachelor's degree in business administration or related field, preferred but not required.
- Proven experience in office management or administrative roles
- Strong organizational skills
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Must be proficient in Microsoft Office.
- Quickbooks Online knowledge is a plus.
