Job Description: Estate, Guardianship, and Elder Law Team Client Concierge
The Estate and Elder Law Team Client Concierge (“CC”) is ideally an experienced legal assistant or paralegal with knowledge of the client’s work necessary to carry out estate administration and planning. The CC will assist (not advise) the clients with the critical work that is often difficult to do. The CC will be responsible for working hand in hand with clients on those activities that take place outside of the legal work including:
Estate Administration
- Initial Estate Administration meetings with clients to review documents and explain the estate administration process
- Obtain necessary client authorization to communicate with banks and financial planners
- Meet with banks and financial planners with client to:
- Obtain and review statements
- Assist with opening estate and trust accounts
- Assist with moving estate and trust funds into accounts
- Serve as liaison with financial planners
- Take title transfers to DMV and assist with completing paperwork
- Assist with sale of motor vehicles (under the authority of a limited power of attorney)
- Communicate with realtors regarding the sale of real property and what documentation will be necessary
- Assist with filing life insurance claims and having accounts transferred to correct owners
- Assist with filing claims for beneficiary designated assets like brokerage accounts, IRAs, bank accounts, etc.
- Communicate with appraisers and companies assisting with estate sales
- Communicate with cemetery representatives regarding extra burial plots
- Communicate with funeral home to obtain needed information
- Provide necessary information to CPA’s for income tax returns or fiduciary returns
- Organize client documents into physical and/or virtual notebooks
- Conduct regularly scheduled meetings with clients to add new documents to the notebooks, review task lists and status, obtain additional information, and keep timeline of administration on track
Guardianship/Incompetency
- Initial meeting with clients for Incompetency Petition or Guardianship Administration to review documents and explain the guardianship process
- Obtain necessary client authorization to communicate with banks and financial planners
- Meet with banks and financial planners with client to:
- Obtain and review statements
- Assist with opening guardianship accounts
- Assist with moving guardianship funds into accounts
- Serve as liaison with financial planners
- Take title transfers to DMV and assist with completing paperwork
- Provide necessary information to CPA’s for income tax returns
- Organize client documents into physical and/or virtual notebooks
- Conduct regularly scheduled meetings with clients to add new documents to the notebooks, review task lists and status, and obtain additional information
Elder Law
- Obtain financial information necessary for Medicaid applications
- Assist with communication with facilities and social workers
- Enable communications with care agencies and service providers
- Meet with estate planning clients and planners to assist with asset transfers and re-titling of beneficiary designations (extra service)
The right person is unflappable, direct, professional, and can handle both the emotional and logistical responsibilities.
Qualifications
- Strong customer service skills with a focus on hospitality and guest relations
- Excellent time management and phone etiquette
- Legal administrative or paralegal experience preferred
- Multilingual or bilingual abilities are a plus
- Previous experience in similar roles or settings is highly preferred
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
- Monday to Friday
