JOB SUMMARY:
Responsible for administering and organizing projects while supporting teammates. Responsible for scheduling and billing jobs, clerical and project-based work, and supporting managers and staff day-to-day duties. Can think quickly but in a controlled manner while interacting in a one-on-one or group setting. Shows pride upon project completion while providing exceptional customer service representing the Paul Davis brand.
ESSENTIAL FUNCTIONS:
- Monitor and ensure client requirements are followed.
- Review and validate initial field documentation.
- Confirm budget and work orders before the start of projects.
- Ensures compliance with standards and regulations.
- Seeks partnerships to improve performance with vendors and tradesmen.
- Negotiate profitable agreements with external vendors, contractors, and critical subcontractors.
- Inform key stakeholders of the project’s status by producing regular progress reports.
ESSENTIAL FUNCTIONS CONT’D:
- Clarify the scope with project managers to produce an accurate list of project specifications, including manual labor needs and necessary materials.
- Ability to recruit and manage sub-contractor networks.
- Complete and review job file documentation for final upload and audit process.
- Responsible for educating the customer on products or services and effectively articulating the use and need.
- Assisting in day-to-day operations.
- Assist other departments as needed.
REQUIREMENTS:
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (i.e., Outlook, Word, Excel).
- Sound planning, attention to detail, and organizational skills.
- Experience with writing estimates, job file processes, and quality assurance is a plus.
- Valid driver’s license and background check with a clean record.
- Successful at working in a fast-paced, team-oriented office environment.
- High School Diploma or GED required.
- 2 years of administrative or office-related experience required.
