What does a Project Coordinator with Paul Davis do:
- Work collaboratively with members of other departments toward achieving Company goals
- Proactively manage job files from receipt to closure, including ensuring proper documentation as well as coordinating with accounting and compliance, as needed
- Regularly and thoroughly document work in appropriate systems and TPA portals (RMS, Xactimate, Symbility, MICA, Microsoft 365)
- Assist Intake to answer incoming phone calls when needed
- Exemplify good customer service by answering in a calm, positive and sympathetic manner
- Confirm jobs sent through program carriers and TPAs are correctly linked
- Actively manage and maintain complete and accurate job data in RMS ensuring required documentation is on file and properly executed at each stage of the process
- Ensure compliance requirements are being met by reviewing PM dashboards which require an understanding of SLA guidelines and TPA requirements
- Monitor XA/RMS/Symbility notes, along with text/email/teams/other internal communication means, and respond accordingly, updating RMS job files, as necessary
- Along with the PM, ensure customer and carrier remain informed throughout the lifecycle of the job, including transitioning into the next phase of the job (if applicable)
- Prep active jobs for closure with PM which may include following up with customer/carrier on payment
- Actively prepare for and participate in Team meetings
- Provide administrative support to one or more Project Managers and serves as a second set of eyes as it relates to all administrative requirements of processing a claim
- Servs as a point of contact to assist customers, adjusters, QA representatives and other parties to the jobs managed by the Project Manager
- May require some after-hours support during spike or CAT events
- Assist customers and insurance personnel with questions on project status
- Monitor and manage all communication channels to assure that our team stays on top of all incoming communication and requests
- Actively prepare for and participate in Production Audits with assigned Project Managers
- Coordinate with Project Managers and Accounting to ensure final invoice is ready at project completion for Project Manager to deliver at final walkthrough
- Communicate job schedules, progress and status with customers and insurance adjusters on a regular basis
- Send our Vendor Packets for Onboarding if needed
- Ensure compliance with standards and regulations utilizing internal office systems
- Provide daily and weekly communication via job status updates to clients
- Ensure RMS job files are complete, including customer contact information, adjuster contact information, internal participants, referred by, and more when first entered into the system
- Ensure compliance requirements are being met by actively managing RMS job files and reports such as Jobs Lacking Interaction, RMS Compliance Manager, etc., communicating with teammates and developing systems of reporting and review when necessary
- Perform review of all pre-start documents sent by Estimator to ensure RMS job files are complete
- Proactively manage project “tail” by acting as liaison between Accounting, PMs, Carriers and Customers to help drive the project closeout process and assist our accounting department with collections
- Assist other Departments when necessary to help cover workload during CAT events or PTO
Job Requirements:
- 1-2 years of experience in a relevant role preferred
- High School diploma or equivalent
- Mitigation experience is a plus but not required
- Highly organized and attention to detail with problem-solving abilities
- Ability to multi-task and prioritize while communicating effectively
- High level communicator
- Proficient in Microsoft Office
Hours:
- A typical shift for this position is 8am – 5pm, Monday – Friday, in the office
