Wholesale Operations Coordinator

POSITION SUMMARY:

The Wholesale Operations Coordinator, you will play a crucial role in supporting the wholesale team. You will ensure smooth operations by managing administrative tasks, maintaining relationships with key partners, and assisting in the coordination of order processing and delivery. This is an excellent opportunity for a detail-oriented individual looking to start their career in fashion wholesale.

PRIMARY RESPONSIBILITIES OF THE JOB:

• Assist and report to Sales Director to ensure all department functions and targets are met on a seasonal basis
• Assist in responding client requests and questions. Service accounts on a day to day basis with stock replenishment, return authorizations, and product information while accurately completing the necessary documents
• Complete order entry ensuring it’s submitted by agreed deadlines and that all orders are cross referenced and checked for errors (including but not limited to: order dates, size scales, specific shipping and invoice requirements) and escalate discrepancies to AE’s as needed
• Help with market setup and pack up - including but not limited to: showroom setup, scheduling appointments, sample preparation, line sheet development, swatch book organization, pricing logs, stock kitchen)
• Ensure merchandising standards are maintained in the showroom at all times and assist with appointments as needed
• Assist with wholesale market appointments upon request
• Prepare training material for product knowledge clinics as requested, and support AEs when out in the field
• Update AEs on product shipping status by reviewing shipping reports provided by Logistics/ Operations team
• Manage sample trafficking for wholesale. Complete all necessary paperwork including creating and accurately filling out shipping documentation (national and international)
• Develop full competent use of company systems- such as Prima, B2B, Omnivue, ClarityQB
• Assist with ad-hoc reporting as needed
• Other related duties, not specified above, as outlined by your Sales Manager

QUALIFICATIONS & EXPERIENCE:

• Undergraduate degree in a fashion and business related field or equivalent
• 1-2 years working experience in a luxury wholesale environment
• Working knowledge of sample trafficking systems and reporting. Experience working with Prima and Mosaic a plus
• Previous experience working with international shipments and documentation
• Excellent verbal and written communication skills/ comfortable speaking and writing with personnel at all levels
• Strong Microsoft Office skills, especially Excel (formulas, v lookups, pivots)
• Detail oriented and excellent organizational skills a must
• Interest in the Paul Smith brand and has a passion for style and fashion
• Interest and knowledge of current trends in music, arts and culture
• Has initiative; is motivated and results driven
• Flexible and reliable
• Team player, helpful, approachable and trustworthy

POSITION REQUIREMENTS

• Long hours and weekend work may be needed for pre, during and post market
