What are the responsibilities and job description for the Scheduling Coordinator position at Paver Mac?
Paver Mac specializes in the installation of brick pavers, travertine and hardscapes. We are a family owned company and have been in business for over 17 years. We pride ourselves on honesty and integrity.
Duties and responsibilities in our scheduling department:
- Answering the phone for customers and suppliers, transferring calls to the correct department, and scheduling appointments for sales reps when needed.
- Schedule in house crews and subcontractors for upcoming jobs, keep track of status of current jobs, completed jobs and punch outs.
- Coordinate with manufacturers with shipping dates and current shipping statuses
- Coordinate with homeowners/community managers/or other trades for ordering material dates, initial shipping dates, possible rescheduling of shipping dates and start/end dates
- Create documents, maintaining database, sending memos and emails.
- Collecting, filing and organization office documents
- Monitoring inventory
- Transcribing or taking notes during production meetings and writing memos and/or agendas
- Make sure all required paperwork is filled out correctly before giving it to the in house crews or subcontractors
- Working hand-in-hand with the ordering department on current and future jobs
Desired Skills and Qualifications:
Job Type: Full-Time Monday through Friday
- High school diploma or GED a plus
- 1 years of office administration experience, construction or trades-related a plus
- Computer skills in Google Products such as GMail, Google calendar, and Google Drive, Microsoft Word and Excel Required
- Trello Database knowledge is a plus
- Strong work ethic - reliable, highly motivated and willing to do what it takes to get the job done right
- Excellent communication abilities, including speaking, writing and active listening
- Effective organization and time management skills, like prioritization, multitasking and planning
- Great customer service skills, including a personable and positive attitude
- High typing and writing accuracy
- Problem-solving, critical thinking and decision making abilities
- Serve as a multitasking team player that works well with others in a fast paced and high energy environment with the ability to also work alone with little-to-no supervision
- Keen attention to detail, with the ability to recognize discrepancies

Pay: $18.00 - $20.00 per hour
