The Role You Play
The School Based Services (SBS) Program Assistant is an administrative position that is responsible for coordinating school-based services both internally and externally. This coordination includes taking phone calls from school liaisons, clients’ guardians, and agency staff and greeting them in a welcoming and professional manner while assisting with SBS referrals, scheduling, data input, and care coordination.
You will:
- Be a school referral’s initial contact for school-based services.
- Provide excellent customer service which includes an accommodating, hospitable, friendly attitude, listening and communicating effectively, efficiently and compassionately.
- Maintain the current roster of partnering schools and services available by location.
- Process referrals received electronically via DocuSign, by phone or in person, reviews information for completeness. Provide assistance to parents and/or guardians with admissions paperwork.
- Schedule SBS intake appointments with the appropriate SBS therapist.
- Works with admissions department to stay up to date on Pawnee’s admissions procedures and utilizes this knowledge to support all SBS intake processes.
- Initiate and maintain required administrative and clinical documentation.
- Uphold confidentiality of client information; ensure information is shared on a “need to know” basis only within Pawnee.
- Scan related protected health information related to treatment and payment for services to electronic health record. (i.e., DocuSign packet)
- Provide administrative assistance and information to facilitate access and orientation to the agency and the services Pawnee provides.
- Refer clients who are in crisis (demonstrating suicidal or disoriented thoughts, exhibiting a high degree of irritability, aggression, or emotional instability) immediately to Pawnee’s crisis department.
- Receive and process information concerning changes and enters new client information into the electronic health record accurately within two (2) business days of receipt.
- Monitor and maintain office and site supply needs for SBS.
- Communicates effectively and proactively between programs to assist with care coordination.

Requirements:Required:
- High school diploma or equivalent.
- Basic personal computer skills.
- Strong oral and written communication skills using the English language.
- Prior experience or ability to learn to operate and assist with maintaining office equipment such as a postage machine, copier/scanner/fax machine, and folding machine.
Preferred:
- Previous customer service experience in a medical office.
- Experience with Microsoft Word and Excel.
- Multilingual skills.
