Position Summary:
Paws Humane Society is seeking a highly organized and detail-oriented Administrative Assistant to provide critical support in donor management, event coordination, retail operations, and general office duties. This role requires excellent communication skills, proficiency in data management, and a commitment to Pa Humane Society’s mission.
Key Responsibilities
Donor & Financial Management:
- Manage the donor CRM system accurately and efficiently, ensuring record are up to date and duplicate entries are cleaned periodically.
Check the mailbox and the drop box behind the adoption desk daily for donations, distributing non-donation mail to the appropriate department. Open and process all donations, making copies of checks/cash and processing credit cards through Fundraise Up.
- Accurately enter all donations into the CRM system and input total donations into QuickBooks.
- Run and verify donation receipts, prepare acknowledgment letters for mailing after the Executive Director’s signature.
- Prepare and mail all End-of-Year Tax Statements to donors every January. Retail Operations:
- Manage retail inventory, including ordering merchandise, restocking supplies, and conducting monthly inventory counts.
Ensure the retail area is well-organized and stocked with popular items. Process retail sales transactions and track revenue.
- Coordinate with vendors for product selection and pricing.
Marketing & Communications Support:
- Assist the Marketing Manager in gathering photos, stories, and other content for MailChimp emails, Fundraise Up campaigns, social media, and the Paws Humane website.
Event Coordination:
- Assist in planning and coordinating special events, including securing venues, negotiating space contracts, arranging food and beverage, ordering supplies and audiovisual equipment, and overseeing event setup and closeout.
- Ensure all event logistics, including décor and on-site arrangements, are handled efficiently
General Administrative Support:
- Provide administrative support, including answering calls, responding to emails, and maintaining office record
- Assist with other tasks and duties as needed/assigned to support the mission and daily operations of Paws Humane Society.
Qualification
- Previous administrative experience, preferably in nonprofit, don management, or retail operations.
Proficiency in Microsoft Office, Google Workspace, and donor CRM system Experience with QuickBooks, Fundraise Up, and retail inventory management is a plus.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Ability to work independently and as part of a team.

Work Environment:
Frequent exposure to animals of various temperaments and health conditions. Work may involve lifting, bending, standing for long periods, and exposure to outdoor elements.

Pay: $14.00 - $15.00 per hour
