As a Client Service Specialist, you’ll be the first point of contact for visitors and callers, helping people navigate adoptions, pet permits, and lost and found services. You'll also handle data entry, reconcile cash drawers, research open records requests, pull shelter reports, and assist with the Friendly Finder Foster Program. Key Responsibilities:
Client Interaction & Communication
- Greet and assist visitors in a friendly and professional manner.
- Answer and respond to phone calls and emails related to adoptions, lost and found pets, city pet permits, and general inquiries.
- Provide accurate information on adoption procedures, fees, and available animals.
- Conduct adoption follow-up calls to check in with adopters and provide post-adoption support.
- Assist clients with lost pet searches and guide them through the reclaim process.
Administrative & Data Management
- Research and compile data for open records requests from the public.
- Process and issue city pet permits in accordance with local regulations.
- Accurately enter and update animal records, adoption applications, and other relevant data.
- Pull reports regarding daily shelter activity, including intakes, adoptions, and impounds.
- Reconcile cash drawers for adoption, impound, and permit fees.
- Pick up city permit information from local veterinary clinics and ensure accurate recordkeeping.
- Maintain organized files and ensure proper documentation for all transactions.
Shelter Support & Coordination
- Work closely with animal care staff to facilitate adoptions and client interactions.
- Assist the Animal Services Manager with the Friendly Finder Foster Program, including coordinating foster placements and providing resources to foster caregivers.
- Support event registration and adoption promotions as needed.
- Assist with other duties as assigned to ensure smooth daily operations.
Qualifications:
- Previous experience in customer service, receptionist work, or administrative support preferred.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks in a fast-paced environment.
- Comfortable working around animals and advocating for their welfare.
- Proficiency in Microsoft Office and data entry systems.
- Basic understanding of financial transactions and cash handling.
- Experience with data research and records management is a plus.
- Bilingual (Spanish/English) is a plus.
Work Environment & Physical Requirements:
- Work is performed in an animal shelter environment with exposure to noise, odors, and animal-related allergens.
- Must be able to sit, stand, and move around for extended periods.
- Occasional lifting of up to 25 lbs. may be required.
- Local travel may be required to pick up permit information from veterinary clinics.
