Job Description: Executive Assistant / Marketing Associate for A Luxury Fashion Brand
Pax Philomena is an exciting, dynamic, and unique luxury clothing brand which fuses rich, Indian block prints and timeless Italian style to create clothing that inspires joy and confidence. Our mission is to Spread Pax ( peace ) through our colourful and unique hand block printed, hand sewn clothing. We give a percentage of our profits to Mother Teresa’s Missionaries of Charity.
Role Overview
Looking for a polished, passionate, self-starter who has preferably some fashion retail experience and/or a background in textile design, to work in a fast-paced, deadline-oriented, and growing mostly ecommerce fashion company. This position is a hybrid of administrative assistance to the principal of the company, marketing, sales, and website coordinating and will require 40-45 hours/week. The Company is a start-up, so the ideal candidate will enthusiastically wear ‘several hats’ as the organization grows. Candidate must provide professional customer service and possess strong oral, written, and interpersonal communication skills. Candidate must also possess excellent poise, judgment, tact, and ability to maintain confidential information.
Responsibilities:
Working closely with the Founder who has over 30 years of experience in textile design. Conserve principals’ time by assisting her in all aspects of her day mostly professionally but also some personal needs as well. Must be able to multi-task.
Managing and maintaining inventory, including loading products into the website and having complete knowledge of our product line.
Shipping orders daily to ecommerce clients.
Processing PO’s to our suppliers in India and Italy and following up on shipments that are coming to USA.
Manage schedules, make appointments, and coordinate meetings with internal and external parties.
Meeting with clients for sales appointments at our atelier.
Correspondence is crucial to this fast-paced role, answering emails and texts quickly and efficiently to clients and the principal is required.
Strict confidentiality and professionalism is imperative pertaining to sensitive information, meetings and events.
Attendance/correspondence may be required after hours/on weekends for special events.
Driving is sometimes involved so a car is a must.
Minimum Qualifications:
- Must be comfortable with technology and be a self-starter. Experience with Shopify, Klaviyo, Adobe Photoshop, Facebook/Meta and Google ads is a plus.
- High School Diploma or equivalent
- Excellence in customer service skills
- Must be able to prioritize multiple tasks and deadlines
Preferred Qualifications:
Fashion retail or luxury retail experience
Personal assisting experience
Social Media Management experience
Experience with Shopify and Klaviyo
Interest in writing newsletters and building mailing list
Love for fashion is a must!
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 40 – 45 per week
