What are the responsibilities and job description for the Absence Management Coordinator I position at Paychex?
Develops and provides day-to-day operational administration of comprehensive employee disability case management and Return to Work program in accordance with established quality and timeliness measures. This includes, but is not limited to, short-term disability, long term disability, state and federal Family Leave, Americans with Disabilities Act (ADA), the Paychex Supplemental Paid Family Leave Policy, military leave, personal leave, workers' compensation, and Travel accommodation requests. Uses independent judgment to make recommendations for accommodations and employment decisions. Ensures legal compliance and limits organizational risk.
Responsibilities
- Engages in interactive conversations with applicants/employees, reviews medical information, coordinates with managers/supervisors, and partners with legal and Employee Relations Managers, when necessary, to manage Americans with Disabilities Act accommodation requests, including requests for leave from work and at work accommodations.
- Determines whether a proposed accommodation is effective and reasonable or poses an undue hardship on Paychex to enable the individual to participate in the application process and/or to perform the essential functions of the position. Recommends and manages an accommodation that is reasonable and most appropriate.
- Develops and maintains metrics to manage case load, for auditing, to identify trends and to identify early return to work opportunities. Coordinates system updates related to time off tracking, LOA employee and supervisor communications, resource tools, and check lists. Builds relationship with the Claims Management external administrator to ensure performance standards are met and identify process improvement opportunities that will increase the customer service experience for employees and leaders as well as create efficiencies for each organization.
- Partners with legal counsel on issue resolution to ensure risk mitigation, consistent application across the company and litigation preparation. Makes recommendations for employment decisions based on compliance with FMLA and ADA regulations.
- Participates in continuous process improvement and other projects to drive improved business results through increased productivity by enhancing employee experience and leveraging existing benefit programs that facilitate stay at work/return to work initiatives in an effort to reduce claim durations and frequency.
- Partners with Human Resources Business Partners (HRBP) and Employee Relations Managers (ERM) to identify trends, provide insight, and make recommendations on issues impacting absence management and workforce planning. This includes applying data analysis to case management and noting trends and developing recommendations in conjunction with HRBP / ERM teams. Establishes effective working relationships and communicates regularly with benefit specialists, safety team, Employee Relations Managers, legal, payroll team, HR ESC/Data team, employees, Paychex managers/supervisors, and external third party STD/LTD/FMLA, EAP and Workers’ Compensation vendors to effectively manage employees’ absences.
- Remains up to date on applicable federal, state, and local regulations to ensure the company is compliant, including state and Federal Family Medical Leave Acts, State Workers’ Compensation and Disability laws, Paid Family Leave laws, USERRA, Workers’ Compensation, ADAAA, GINA and HIPAA.
- Provides ongoing coaching, development, and training to business leaders to ensure compliance with leave laws and policies to encourage early return to work opportunities, reduce legal exposure, and assist with business planning. Designs and delivers absence management, EAP and safety training sessions to leaders to increase leadership competency.
- Responsible to review and maintain employee communications including all letters, intranet sites, the employee handbook and vendor communications to ensure material is current and compliant with company policy and applicable laws.
- Other duties as assigned to support the general purpose of the position’s function.
Qualifications
- Bachelor's Degree - Preferred
- Strong decision making, verbal and written communication, problem solving, and analytical skills. Negotiation skills that focus on stay at work/return to work strategies.
- Certified Leave Management Specialist - Preferred
Compensation
In the spirit of pay transparency, we are excited to share that the starting base pay range for this position is $20.66 - $32.47 hourly. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package for the position. If you are hired at Paychex, your overall compensation will be determined based on factors such as geographic location, skills, education, and/or experience which may result in total compensation outside of this range.
