Key Responsibilities
Executive Support
- Triage the CEO’s inbox, calls, and messages; maintain inbox zero twice daily and surface only high-priority items.
- Manage the CEO’s calendar, travel, and project deadlines; protect focus blocks and ensure follow-through.
Meeting Preparation & Follow-Up
- Capture meeting notes with AI transcription tools, create concise summaries, and extract action items.
- Maintain a live task tracker and send daily updates plus a weekly recap of open items.
CRM & Lead Pipeline Management
- Shepherd franchise leads through Zoho CRM: schedule Founder’s Calls, log interactions, and coordinate follow-ups.
- Provide weekly pipeline and conversion reports.
Franchisee Support & Customer Care
- Serve as first-line support for franchisees; route questions, resolve issues, and monitor progress to resolution.
- Document interactions to spot trends and recommend process improvements.
Office & Vendor Operations
- Oversee headquarters logistics: supplies, vendors, shipping, and workspace organization.
- Coordinate garment shipments and special projects as needed.
Qualifications
- High-school diploma required; associate or bachelor’s degree preferred.
- 2 years in executive assistance, office management, or B2B customer service.
- Exceptional organization, follow-through, and problem-solving skills.
- Clear, professional written & verbal communication.
- Proficiency with Google Workspace, Microsoft Office, and a talent for mastering new software quickly.
- Ability to work independently, handle confidential information, and thrive in a fast-paced environment.
