The Business Development Coordinator administers the Lead Generation initiatives that identify new business opportunities for both the group and leisure markets. They interface directly with the Sales Team, communicates and distribute viable group leads and profiles new prospects in a fast-paced sales environment. They also provide administrative support to the VP, Global Alliances and Director of Leisure Travel.

Essential Duties & Responsibilities: 

Lead Generation Initiatives & Global Alliance Partner Programs

  • Compile and analyze account and contact data to effectively assist sales managers with their prospecting efforts.
  • Measure and track new business generated from all lead generation channels to include but not limited to  Top Line Data, CVENT , Preferred Hotels and Resorts, Associated Luxury Hotels, and HB Hospitality.
  • Collaborate with Marketing to ensure all Alliance Partners and their distribution portals have current and accurate content that support Pebble Beach Company’s sales programs.
  • Profile guests and distribute the Weekly Mining Report and Group Reservation guest profile projects.
  • Maintain current and accurate logs of incoming sales leads, distribute all leads to the appropriate Sales Manager and compile monthly productivity reports for each production channel.
  • Analyze Top-Line Group Data Report to identify account and booking trends and communicate this intelligence to the sales team.
  • Compile monthly Global Alliance Partner productivity and cost of sales reports.
  • Ensure Proposal Path features accurate and current content.
  • Special Projects including company research and industry analysis.
  • Coordinate Annual Sales Action Plans: compile information, ensure accuracy and distributed by deadline.

 

Special Event Sales Plans & Profiles

  • Update and maintain sales plans, profiling and invitee matrixes for PBC Special Events (Concours d’Elegance, First Tee Open and AT&T Pro-Am).
  • Maintain accurate contact and account information in Delphi and SMS.

 

 Administrative Support to VP of Global Alliances & Director of Leisure Travel Sales

  • Schedule, coordinate and setup meetings, appointments and travel arrangements.
  • Prepare and process expense reports, trip authorization forms, invoices and check requests.
  • Partner with the Resort Reservations Manager to ensure that guest information is accurately captured in the guests profile and communicated to the Special Services team.
  • Assist in researching guestroom and golf availability.
  • Generate reservations and VIP requests for selected guests.

 

Absolutely Required Skills:  

  • Strong organizational skills, initiative, attention to detail and professionalism.
  • Ability to communicate professionally and effectively.
  • Must be a skilled communicator (written, verbal, and electronic).
  • Ability to multitask, adapt to any assignment or situation in a fast paced environment.
  • Ability to work independently and with a team.
  • Proficient in Microsoft Office, Excel, Word, PowerPoint, Delphi and SMS (resort management systems).
  • High school graduate required.

 

Desired Skills:

  • 3 – 5 years administrative experience especially in hotels and resorts or comparable Business Development, Lead Generation or Sales experience.
  • Knowledge of Delphi and SMS preferred.
  • College degree preferred or applicable experience.
