The Production Services Coordinator will provide efficient coordination between the management team & Production Services staff regarding department operation and will conduct accurate infrastructure tasks such as E-book accuracy, BEOs, diagrams, pick lists, specialty and standard equipment ordering as well as assist the management team to keep expenses within budget, and to capture maximum revenues. The Production Services Coordinator will work as a Production Services Technician when the team requires such support.

Essential Duties & Responsibilities:
- Liaise directly with guests in advance to review needs/details, upsell if possible. Lead an onsite hand off to introduce Production Services staff to the guest for productions.
- Contact guests via telephone, email, text, Zoom or Teams to determine production needs and details, ask for requirements, respond back to inquiries. Follow up on BEOs that state: “working with Audio Visual Manager on requirements”.
- Review all emails for any and all production details, confirm these details with the guest, order as needed, complete all necessary action items for said details for the duration of the event(s).
- Identify and coordinate/complete all specialty items off quotes, such as white carpet, plexi podium, chandeliers, market lights, etc.
- Communicate in depth with guests to make sure their expectations of events are being met. Speak in depth to Catering & Conference Services Managers also to ensure that their vision is also being met.
- Ensure E-book has accurate information and has set/strike days listed accurately. Eliminate the ‘flow to nowhere’ listings.
- Double check that daily staffing is appropriate and accurate for the needs of the operations.
- Build and maintain the Production Clipboards with current versions of diagrams, BEOs, quotations, resumes, info from emails, past op forms, cover sheets.
- Conduct production Huddles with staff upon initial installation of productions to review scope and details of the event.
- Call vendors to ensure orders will be delivered and picked up on proper day/times.
- Responsible for inquiring about guest content, receiving, reviewing and distributing content to Production Services staff.
- Handle all aspects of BEOs: review initial order, contact Catering & Conference Services to correct any pricing or overlooked items, etc.
- Order operational supplies and equipment as needed for the productions and stock
- Input into the E-book with accuracy using info from BEOs, change logs, Dailies, 14 Days, menu meetings, emails, and phone orders.
- Order in a timely manner and track electrical power needs for all productions. Have staff confirm the requested order is actually correct and installed.
- Assist with any departmental special projects as necessary.
- Attend pre-convention meetings to represent the department, track and implement any changes necessary into the operation.
- As needed, attend site visits with a focus on sales.
- Handle all tasks as an Production Services Technician when assigned.
- Handle emergency deliveries of small department items to the Production Services staff as required.
- On any/every shift worked, participate in monitoring staff hours to avoid unnecessary meal penalties.
- Give direction to Productions Services staff as needed in absence of Supervisor(s) or Manager.
- Any reasonable request by management outside the scope of the Production Services Coordinator job as needed with special projects and special events.
- Handle confidential department financial and employee information in the appropriate manner.
- Assist guests in the Business Center as required.
- Participate in special events including Concours d’Elegance, AT&T Pro-Am, Pebble Beach Food & Wine and U.S. Open among others.
- Comply with all Pebble Beach Company safety and health policies and procedures.

- Experience using audio/visual and business services equipment.
- Familiarity with Microsoft Office, MacBook Pro, Zoom, Teams, laptops, iPads, tablets, Spotify, FaceTime, Internet SSID and passwords, Video Conferences, and other database and systems.
- 2 years’ clerical experience.
- Valid California driver’s license with no more than 2 points.
- High school diploma or equivalent.
