Reports To: Admissions & TNVR Manager

FLSA Status: Non-Exempt, Hourly

Pay Rate: $16.00 Hourly

SUMMARY

The Admissions & TNVR Coordinator is the first point of contact for clients and visitors seeking assistance with found or lost animals, with surrendering owned pets, and with community/outdoor cats. Provides information and assistance to clients regarding all programs and services offered. Monitors and maintains the records pertaining to animal intake. Answers phones and e-mail inquiries from citizens. Ensures a clean, safe, and operational work area.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Interfaces with clients in a diplomatic and tactful manner to assist them with all aspects of Peggy Adams’ programs and services.
  • Understands the resources of the organization at any given time, so intakes are in alignment with the shelter’s capacity for care (housing, staffing, foster care, and adoption-driven capacities).
  • Utilizes the organization’s programs and services to keep pets in their homes through Safety Net and TNVR programs.
  • Assists “walk in” clients needing help with found or lost animals, with surrendering their pets, and with community/outdoor cats.
  • Returns stray cats back to their outdoor homes after surgery if deemed eligible for ‘RTH’ and distributes door hangers/flyers in the area.
  • Provides support, assistance, and resources to community members caring for or having issues with free-roaming cats.
  • Performs administrative/clerical duties in a timely fashion as needed, including but not limited to completing required documentation; accepting payment for services rendered, communicating with internal departments/community members in person, by telephone, and through email; etc.
  • Maintains and updates the Admissions calendar for all animal appointments.
  • Collaborates with Palm Beach County Animal Care & Control, and other community partners, to reduce shelter intakes and coordinate animal transfers.
  • Preserves a sanitized, organized, and orderly appearance of assigned areas and vehicles at all times (including animal waste), while maintaining them well stocked with needed supplies and equipment.
  • Handles and works with dogs and cats of all breeds, sizes, and temperaments.
  • Trains, engages, oversees, and helps retain volunteers to ensure they receive the support/resources needed to feel prepared and empowered in their roles.

  • Must have a background in customer service or working directly with clients.
  • Must be willing to work with animals of unknown histories and those who may exhibit medical concerns/under-socialization, as well as fearful tendencies.
  • Must have great interpersonal skills, including the ability to work with a variety of people and represent Peggy Adams Animal Rescue League in a positive and professional manner to all staff, visitors, donors, and the community.
  • Must be able to deal tactfully and effectively with team members, volunteers, and the public, and communicate accurate information effectively in oral and written forms.
  • Must be able to work calmly and efficiently under pressure in a fast-paced and dynamic environment, while paying close attention to detail with all tasks and meeting expected timelines.
  • Must be able to handle difficult conversations with clients in an empathetic, respectful, and professional manner, and to remain calm during highly stressful situations.
  • Must have the ability to handle sensitive information with confidentiality, diplomacy, and tact.
  • Must adhere to the company’s dress code.
  • Must have a detailed knowledge of organizational systems including, but not limited to, computers, telephones, and other office tasks.
  • Must be available seven days a week (including weekends) for either morning or afternoon shifts.
  • Must be willing to learn general knowledge of animal care, housing, and behavior.
  • Must possess a valid Florida driver’s license and driving record acceptable to insurance carrier.
  • Must support the Animal Rescue League’s mission, policies, and practices.
  • Must comply with the League’s Mandatory COVID-19 Vaccination policy.

PREFERRED QUALIFICATIONS

  • One-year related experience and/or training involving community outreach or grassroot efforts
  • Ability to train, educate, and positively engage others, especially those from diverse backgrounds in the community, in animal intake diversion techniques.
  • Experience working in a veterinary hospital or animal shelter
  • Bilingual (Spanish preferred)

EDUCATION and/or EXPERIENCE

  • High School Diploma or GED
  • Experience and/or training involving customer service


COMPUTER SKILLS

  • Working knowledge of Microsoft Word, Excel, and Outlook
  • Working knowledge of various web browsers
  • Ability to complete data entry

MATERIALS and EQUIPMENT USED

  • Multiline phone system
  • Computer
  • Copier / Scanner
  • Leashes, Collars, Harnesses, Cat Traps, and Carriers
  • Cleaning and sanitizing chemicals
  • Vehicles


PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is consistently required to sit, and occasionally drive. In addition, the employee is constantly required to talk, hear, and use hands for grasping, reaching, and other operative tasks. The employee is required to stand or move frequently. The employee will also be required to bend neck and twist body. The employee will be required to consistently lift an animate or stationary object of up to 50 pounds.
