About The Role

PEI Group is seeking a commercially driven Client Relationship Associate to provide post-sales sponsorship support for growing portfolio of clients. PEI's global, industry-leading conferences and events attract between 20 and 150 sponsors and 300 to 3,000 attendees.

This role will focus on developing exceptional relationships with our sponsors and collaborating on outstanding sponsor experiences across our entire event portfolio. Our 40 confex style events are held in EMEA, US and APAC.

The Client Services Associate will be responsible for ensuring external clients, and internal customers, have all the necessary materials and information for a seamless and premium experience. You will build strong, lasting relationships with sponsors, fostering trust in PEI's products and services while communicating effectively across multiple cross-functional teams across our global locations.

Key to your success will be your ability to manage client relationships, gathering promotional collateral that is necessary for successful events for your clients. You will be mindful about future sponsorship opportunities, cross-promotional opportunities, and identify areas to support sales growth across the numerous PEI brands. While this is not a direct sales role, your success will be aligned to the ability to upsell and cross-sell opportunities by nurturing relationships with your sponsor clients.

You will report to the US Client Relationship Manager and will be a key member of a newly established global team, focusing on increasing customer engagement and improving overall customer retention.

About You

Key Responsibilities :

  • Deliver a streamlined and personalized client onboarding process, gathering and delivering key contacts, marketing collateral, logos, company biographies, and attendee information in a timely and organized manner.
  • Manage and update sponsorship logs for PEI events. You will be skilled at accurately tracking client onboarding and deliverables in addition to providing regular status reports to internal customers.
  • Proactively identify and address issues to ensure client expectations are met.
  • Master the CRM system to input and process contract information.
  • Proactively organize external sponsor meetings providing valuable support and request client feedback
  • Participate in internal sponsorship planning meetings and internal zoom calls, providing valuable support for internal customers.
  • Collaborate with the marketing team to ensure consistent branding for sponsors across event materials, including print assets, websites, and social media platforms.
  • Oversee the timely delivery of sponsor materials, leading up to events.
  • Work closely with the sponsorship sales lead, and wider team where applicable, team to ensure accurate event branding and deliverables. .
  • Address client queries and troubleshoot on-site issues to ensure smooth event execution; attend events as required.
  • Conduct post-event evaluations, including data entry, analysis, and the creation of reports for event stakeholders.

Skills and Experience :

  • Ability to work in a fast-paced environment and manage multiple clients and upcoming projects simultaneously under tight deadlines.
  • Strong communication skills, with a tactful approach to client and internal interactions.
  • Excellent attention to detail and organizational skills.
  • Comfortable in a high-level of administrative focused tasks with a desire to refine and improve existing templates, processes and wider systems.
  • Client-focused mindset with a commitment to delivering exceptional service.
  • Experience using Microsoft Office, especially PowerPoint and Excel.
  • Proficiency with CRM systems.
  • Strong written and verbal communication skills.
  • Ability to adapt quickly in a dynamic environment and build efficient working relationships.
  • Experience in sponsorship operations within the conference or exhibition industry would be an advantage.
