Summary
:


  • Reporting to the Leave Administrator Manager, the Leave of Absence Specialist provides administrative and transactional support services for employees' requests and supports the team's workflow process. Services include advising employees and managers on all leave of absence policies and processes (i.e. FMLA, ADA, Military, and UPHS specific leaves, etc.), support for HR Professionals, employee and manager communications and case tracking. Handles Leave of Absence (LOA) requests (Family Medical Leave, Other Medical, Military, Personal, Educational and Gift of Life) for UPHS employees in accordance with UPHS Disability Management protocols and Federal and State regulations. The role interacts with colleagues, third party administrators, management and physician offices to ensure all appropriate information is obtained and documented in compliance with Federal/State regulations and policies of UPHS.

Responsibilities:


  • Analyzes LOA requests to determine eligibility and certification in compliance with state and federal regulations. Runs eligibility reports to ensure FMLA eligibility when an employee is close to the 1250 hours worked. Determines eligibility in accordance with UPHS policy (i.e. FMLA/OML and ADA). If ADA, a Job Accommodation leave record is created in Leave Source.
  • Creates all new leave requests (i.e. via eStar request and email request) and manages the employee’s LOA Dashboard when leave is created. Makes independent decisions by determining and editing Provisional Notice of Rights and Responsibilities communications based on the type of communication the employee submits to the Disability Management Department.
  • Make independent decision when answering all incoming emails from all entities, HRBP, managers, etc. and provides guidance as to next steps in the LOA process.
  • Acts as the subject matter expert by providing guidance to internal clients (HR Operations and line manager) regarding interpretation of local, state and federal laws regarding FMLA and ADA as well as related UPHS policies.
  • Review and assess medical certifications as related to the Maternity/Paternity leaves, determine if the employee meets the definition as defined in accordance with the federal, state and local laws. When necessary, contact physicians to offices to discuss the validity of the certification and to get clarification, if needed.
  • Leave Source (LS) data base: Process Return to Work Task in Leave Source (reviews eStar record and reaches out to the manager to confirm return to work). Processes inbound records in leave source (intermittent tracking in Leave Source) Certification due denials, Eligibility review, and tag all files in LS Monthly audits for all entities (function transferred from LOA Analyst to Specialist due to the LOA Analyst taking on ADA process for respective entities)Updates the HRIS and Leave of Absence (LOA) systems/databases daily.
  • Orders office supplies for the postage machine and copier.
  • Backs-up the LOA Coordinator.

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)
  • Bachelor of Arts or Science (Preferred)
  • 1 years leave administration experienceGood understanding of FMLA rules and regulations as well as rules governing the American with Disabilities Act (Required)
