Penn Residential, Inc is seeking a Full-time OFFICE ASSISTANT/RECEPTIONIST at our administrative office located in New Stanton, PA.
This role will provide information and support to the management team; will greet and direct visitors appropriately; and maintain security and telecommunications systems.
Essential Responsibilities:
· Comply with all Penn Residential, Inc.’s policies and procedures
· Greet employees, consumers, visitors and guests, in person or on the telephone; answering or referring inquiries to the appropriate person
· Understand and maintain the phone system; provide technical assistance and update the system as needed
· Retrieve mail from the local post office; affix proper postage and take out-going mail to the post office daily
· Distribute faxes, mail, and internal correspondence to appropriate personnel
· Maintain calendars for executive personnel; arranging meetings, conferences, teleconferences, etc.
· Track / schedule usage of conference and training rooms as well as fleet vehicles assigned to the administrative office
· Assist in phone screening of new employee applicants, schedule applicant interviews, maintain applicant tracking data, and update job postings as directed
· Assist with maintaining, tracking, and organizing of employee training records
· Maintain strict confidentiality related to consumer records, employee records, and other agency records or data
· Maintain office supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies
· Maintain clean and orderly areas throughout the office including the reception area, conference and training rooms, and kitchen / beverage areas
· Performs all other office duties assigned
Qualifications include:
· High school diploma or equivalent required
· Proficiency in Microsoft Office Suite
· Strong interpersonal skills, the ability to clearly communicate with others and maintain a courteous and professional demeanor
· Extraordinary attention to detail and accuracy and display the utmost confidentiality
· Superior organizational, problem solving and time management skills with the ability to handle multiple priorities effectively
· Two years related experience providing administrative support to leadership or equivalent
· Possess a valid state driver's license and have a reliable means of transportation
Candidates are also required to apply for Act 33/34 clearances (criminal and child abuse) as well as FBI clearances. All clearances and training is paid for by the agency.
