Position Objective: The Administrative Assistant serves as first point of contact for incoming callers, the public and outside agencies for the Extension 4-H Office. The position’s duties are directly related to the general operations of the Extension Office and will support the work of the SDSU Extension 4-H Youth Program Advisor(s).Essential Functions:
- Assist the 4-H Advisor(s) by providing administrative office support for 4-H related activities and programs.
- Courteously greet the public and use appropriate resources to assist those who call on the phone, walk-in the building, and/or contact the office through electronic communication.
- Maintain and monitor the office budget; reconcile monthly and yearly balances.
- Prepare and process vouchers for the office expenses, the Pennington County 4-H Leader’s Association, and 4-H Advisors; maintain detailed records for Federal, State, and County requirements.
- Coordinate the 4-H enrollment process for youth members and adult volunteers through the State 4-H enrollment system.
- Basic to mid-level bookkeeping tasks such as collecting fees and reconciling accounts.
- Write, design and distribute the monthly 4-H newsletter and other promotional and information materials.
- Update and manage the educational information on the Extension website.
- Maintain required member records, 4-H forms, and educational files.
- Complete annual civil rights audit, as required by SDSU.
- Perform related duties as assigned by supervisor.
- Maintain compliance with all County policies and procedures.
- High School Diploma or GED
- Three to five years of related experience in customer service, clerical, administrative, accounting or bookkeeping.
- Possession of or ability to attain a valid driver’s license.
- Ability to operate standard office equipment and a computer with working knowledge of computer and software applications, including Microsoft Office programs.
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state and local standards, including meeting qualitative and quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state and local standards.
- This position frequently remains stationary for long periods of time and needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and printer.
- Must be able to move up to 20 pounds unassisted, and move 40 pounds with assistance.
- Must be able to communicate clearly and effectively on telephone, in-person and in writing.
