Job Description:
The Foundation Facilities Coordinator works closely with the Foundation’s Director of Finance and Office Operations and other team members as necessary. The Foundation Facilities Coordinator is responsible for the maintenance, use, repairs, and leasing of all foundation properties and classrooms. The Foundation Facilities Coordinator will have excellent communication skills to coordinate with coaches, students, contractors, and vendors. The Foundation Facilities Coordinator will have reliable transportation, a background in repair and maintenance, the ability to work independently to complete multiple tasks, strong organizational skills, attention to detail, transportation, and a flexible schedule.
Duties and Responsibilities:
Facility Maintenance & Inspection:
  • Conduct regular inspections of dorm buildings, leased properties, common areas, and exterior grounds.
  • Identify and address maintenance needs such as plumbing, electrical, HVAC, and general repairs.
  • Make repairs as needed.
  • Coordinate with maintenance staff and contractors to schedule and complete repairs requiring external or college maintenance in a timely manner.
  • Ensure cleanliness of dorms and leased properties, including common areas like laundry rooms, kitchens, and lounges.
Resident, Property Management, and Foundation Room Support & Communication:
  • Serve as the primary point of contact for dorm residents, leased property managers, and Foundation rooms regarding facility-related issues.
  • Manage Dorm check-in and check-out processes, ensuring Dorm rooms are inspected and any damages or maintenance needs are addressed.
  • Respond promptly to dorm resident, property management, or Foundation room concerns and requests for repairs or assistance.
  • Communicate dorm policies and enforce rules to maintain a safe and respectful environment.
  • Maintain Dorm room and Foundation room and property occupancy lists.
Vendor & Contractor Management:
  • Coordinate with pest control, cleaning services, college facility maintenance, and other external vendors.
  • Oversee the work of contracted service providers to ensure quality and timeliness.
  • Monitor inventory of dorm property supplies such as air filters, light bulbs, cleaning materials, and order replacements as needed.
  • Monitor inventory of Foundation training room property supplies and order replacements as needed.
Budgeting & Reporting:
  • Assist in preparing and managing the facility budget, including tracking expenditures for repairs and maintenance.
  • Ensure all purchases for facilities are within budget
  • Provide reports on facility status, resident and tenant concerns, and maintenance needs to the administration.
Key & Inventory Management:
  • Request keys from appropriate Pensacola State College Facility staff.
  • Manage and document key distribution for Dorm residents ensuring secure access to all areas.
  • Maintain inventory records of Dorm and Foundation furnishings, appliances, equipment, and classroom items.
Emergency Response:
  • Respond timely to emergencies such as power outages, water leaks, or equipment failures.
  • Coordinate with emergency services and provide guidance to residents and tenants in case of an evacuation or other critical events.
Leasing and Maintaining Foundation Classrooms:
  • Oversee the leasing process for Foundation classrooms, ensuring all agreements are up-to-date and compliant with institutional policies.
  • Maintain the classrooms, ensuring they are in good condition and ready for use.
Inventory and Maintenance for Classrooms:
  • Manage the inventory of all equipment and supplies used in Foundation classrooms.
  • Ensure regular maintenance and cleaning of classrooms and equipment after each use.
  • Restock items as needed, coordinating with suppliers to lease or purchase new equipment and supplies.
Cleaning and Upkeep:
  • Organize and supervise the cleaning of classrooms and equipment after use to maintain a hygienic and orderly environment.
Minimum Qualifications:
  • High school diploma or equivalent; preference given for candidates with a degree in Facilities Management, Property Management.
  • Previous experience in property or facility management, preferably in a residential or community setting.
  • Basic knowledge of building systems (plumbing, electrical, HVAC).
  • Strong organizational and multitasking abilities.
  • Excellent communication and problem-solving skills.
  • Ability to work independently and handle emergency situations effectively.
Pursuant to College policy, it is an employment eligibility requirement for an applicant to meet the requirements of § 435.04(2), Florida Statutes, related to background investigations. Any person failing to meet the requirements of the statute will be deemed not qualified to hold employment in this position. A Florida Department of Law Enforcement (FDLE) approved background check will be conducted on every successful candidate as a condition of employment, and any person who fails to disclose any adverse information contained in the background investigation at the time of submitting the employment application will be disqualified from employment.
Annual Salary: $39,500.00
