Work Year: School Year (200 days)
Salary/Benefits: Consistent with the negotiated educator salary schedule
Administrative Assistant
The Special Education Administrative Assistant provides vital support to the Special Education Department by managing administrative tasks, ensuring compliance with state and federal regulations, and fostering a supportive environment for staff, students and families. This role requires excellent organizational skills, attention to detail, and the ability to handle confidential information with professionalism.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Prior experience in an educational setting or working with special education processes is highly desirable.
- Proficiency in Google Docs, Sheets
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of special education regulations (e.g., IDEA, Section 504) is a plus.
Administrative Support:
- Coordinate and maintain schedules for special education meetings, including Individualized Education Program (IEP) meetings, evaluations, and parent conferences
- Prepare, distribute, and maintain documentation related to IEPs, 504 plans, and other student records in compliance with legal requirements
- Serve as the primary point of contact for correspondence, including drafting letters, responding to inquiries, and communicating with parents, staff, and external agencies.
Data Management:
- Maintain accurate and up-to-date records in special education management systems (e.g., SEIS or other platforms)
- Track deadlines for evaluations, IEP reviews, and other required documentation to ensure compliance with timelines
- Generate reports and assist in the collection of data for state and federal reporting requirements
Coordination and Communication:
- Liaise with teachers, service providers, and other school staff to facilitate smooth communication and collaboration
- Provide families with information regarding special education processes and timelines
- Coordinate logistics for professional development sessions, trainings, and workshops for special education staff
Office Management:
- Manage office supplies and materials for the department
- Assist with budget tracking and processing purchase orders or reimbursement requests
- Perform general office duties such as filing, copying, and organizing materials
- Answer door and vet visitors through the Raptor system
- Answer phones

TERMS OF EMPLOYMENT:
This is a 10 month position (200) days) following the (school calendar)
Salary, benefits and work year as established by the School Committee.
EVALUATION:
The employee will be evaluated by the immediate supervisor(s) in accordance with School Committee Policy on evaluation of non-teaching personnel.
