What are the responsibilities and job description for the Event Coordinator position at Pentwater Chamber of Commerce?
This is a contractual and at will position. The Event Coordinator reports directly to and is supervised by the Executive Director of the Pentwater Chamber of Commerce.
Description:
The event coordinator should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers.
Event coordinators control an event from conception to clean up. He or she meet with sponsors to work out and plan event details, order supplies, audiovisual equipment, order event signs/banners, ensure appropriate decor (linens, floral, color schemes, etc.), create layouts, food, entertainment, volunteer staff and cleanup. The Event Coordinator keeps track of event finances including check requests, invoicing, reporting, and able to follow a budget given by the Chamber Board and Director. He or she makes sure the event runs smoothly, efficiently and handles any crisis that may come up and reports directly to the Director.
Requirements:
- Communication: The Event Coordinator works with sponsors, suppliers, employees, volunteers and many other parties at the same time. Customer service and interpersonal skills are required. Recruits committee Chairs and coordinates volunteers for the assigned events and programs. Works closely with each responsible Chairperson and committee members to ensure the successful accomplishment of the budgets and goals for each event and program. Solicit, secure and grow sponsorship relationships for each event. Ensures that each event, program and or committee operates within approved budget guidelines.
- Attends all committee meetings related to the assigned events and programs and ensures that all clerical work, such as correspondence, meeting notices, minutes, invitations, etc., associated with the assigned committees, and any subcommittee that may be established, is completed in a timely and accurate manner.
- Organization: Many things happen all at once at meetings. The Event Coordinator needs to stay focused and organized so that the event goes off without a hitch.
- Problem-Solving Skills are a Must: Inevitably, something will go wrong at an event. Being able to quickly solve the issue is required. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends.
- Must be able to lift up to 40 pounds.
Status and Salary: This is a part-time to full-time position with a flexible schedule. Evening and weekend work may be required. Salary is hourly and based on experience.
