Position Title : Front Desk Representative

Department : Administration

Location : Kansas City, MO

Reports To : Front Office Manager

Job Summary :

The Front Desk Representative serves as the first point of contact for clients, visitors, and employees, ensuring a welcoming and professional environment. This role involves managing front desk operations, providing excellent customer service, and handling administrative tasks efficiently.

Key Responsibilities :

Customer Service :

Greet and welcome guests upon arrival with a friendly and professional demeanor.

  • Answer inquiries regarding services, hours of operation, and company policies.
  • Handle complaints and provide appropriate solutions in a timely manner.

Administrative Duties :

Answer, screen, and forward incoming phone calls.

  • Manage appointments, maintain calendars, and schedule meetings.
  • Process check-ins / check-outs for guests or clients, as applicable.
  • Maintain and update records in the company database.
  • Facility Management :

    Ensure the reception area is tidy and presentable, with all necessary supplies (e.g., pens, forms, brochures).

  • Monitor and restock office supplies and inform management of inventory needs.
  • Collaborate with other departments for facility needs, such as maintenance or IT support.
  • Qualifications and Skills

  • High school diploma or equivalent; additional certification in office administration or customer service is a plus.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking skills.
  • Ability to handle high-pressure situations with professionalism.
