Peregrine Market Access is seeking an experienced Executive Assistant to support the President. In this exciting role, the executive assistant will not only provide administrative support, but also participate in various projects and initiatives. The ideal candidate will be someone with both the skills and sharp attention-to-detail required to effectively support a senior executive; thrive working in a fast-paced, results-driven environment where you must balance multiple priorities at once.
Responsibilities:
- Manages and maintains daily calendar of the President, working with administrators and meeting participants to efficiently and effectively schedule meetings, working around conflicts in a proactive and skilled manner and keeping participants aware of updates
- Coordination of all business travel, domestic and international, including booking flights, hotels, cars and other services.
- Coordination of executive communications, including taking calls, scheduling Zoom meetings, responding to emails and interfacing with other executives, employees and guests.
- Preparation for all meetings with senior executives and other guests, including reserving space, catering (if required), document preparation and other logistics.
- Prioritizes multiple tasks and distinguishes between ‘urgent’ and ‘important’
- Field inbound communications and exercise solid judgement in determining the appropriate resource to address the request.
- Understand company policies and procedures, written and unwritten, to ensure appropriate decision-making protocols are followed.
- Participate in various meetings and conferences as needed.
- Design PowerPoint presentations for an executive audience
- Completes timesheets, answers phones, and processes expense reports
- Additional duties and projects as requested
Qualifications:
- Minimum 4 years as an Executive or Administrative Assistant, reporting to a senior-level executive.
- BA or BS degree preferred.
- Advanced Microsoft Office skills, including Outlook, PowerPoint and Excel, with an ability to learn company-specific programs and software.
- Strong attention-to-detail, proofreading and editing skills.
- Proficiency in collaboration and delegation of responsibilities.
- Ability to handle competing demands in a high-pressure, dynamic environment
- Exceptional interpersonal skills.
- Friendly and professional demeanor.
- Ability to communicate clearly and effectively, including with members of senior management.
- Possess high-energy and intellectual curiosity.
