Position Summary:
Provide administrative support to Controller, Trustees, Company Principals and family members of Perlow Investment Corporation. Responsible for maintaining accounts payable, accounts receivable, cash management, basic accounting functions and coordination of tax related documents for various business entities. Exercise discretion in handling confidential matters. Background Check required prior to hire.
Essential Duties and Responsibilities:
Record financial activity and generate financial statements in Quick Books and Passport for several PIC entities, partners and family members. Assist with Accounting conversion to QuickBooks.
Reconcile bank statements, assure accounts are properly funded and maintain professional relationships with financial institutions
Recommend to senior management the reallocation of funds to cover needed expenditures, notify banks of fund transfers and process any distributions
Prepare and mail correspondence and coordinate communication with internal clients and perform Notary responsibilities
Process and pay company invoices and family related expenses
Maintain tax and personal financial records for Principals and family members
Prepare tax documents for outside accounting firm
Coordinate travel arrangements and schedule and organize meetings and special events
Order office supplies and schedule any routine or needed maintenance for office equipment
Maintain office-filing system including off-site storage. If necessary, coordinate office moves if relocated
Answer incoming calls when needed and open and sort mail. Monitor Security camera to office.
Perform various other tasks assigned.
Minimum Qualifications:
Education/Experience:
Associate Degree in Accounting or Business, or work experience commensurate with a degree
3 – 5 years accounting experience in accounts payable, accounts receivable and bank statement reconciliation
Technology/Computer:
Microsoft Office Suite (Word, Excel and Outlook)
QuickBooks
Passport
