JOB TITLE: SCHOOL BOOKKEEPER

25 Hours a week

No health Benefits

7:30 am to 12:30 pm

12 month employee

ENERAL STATEMENT OF JOB


Under general supervision, To provide financial support and assistance within the school office by following established guidelines and procedures and maintaining accurate records for financial reporting and auditing. Reports to the Principal.


S
PECIFIC DUTIES AND RESPONSIBILITIES ESSENTIAL JOB FUNCTIONS

Maintains financial records related to student activities and/or events for the purpose of ensuring completeness and availability of records and compliance with district policy and established regulatory guidelines.


Counts and receipts all monies; conducts daily deposits to bank and reconciles bank statements monthly.


Serves as the contact for the Workers’ Compensation paperwork process; processes all insurance claims for students and employee accident reports, and keeps all OSHA forms.


Maintains a purchase order log by budget code and inventory all orders shipped to school against the packing slip.


Contacts and schedules substitute teachers on an as needed basis.


Prepares and maintains all school accounting for annual year-end audit.


Keys in monthly payroll leave according to the Absence Reporting Period Time Sheet Schedule; maintains monthly leave balance on all staff and verifies totals utilizing SPEED software.


Responds to the public and staff in a cordial, courteous manner.


Performs other related duties as assigned by the principal for the purpose of ensuring the efficient and effective functioning of the school.

INIMUM TRAINING AND EXPERIENCE


Graduation from high school supplemented by college-level course work in bookkeeping or accounting, with an associate's degree preferred. At least three (3) years clerical experience including (1) year experience in bookkeeping or an equivalent combination of training and education; excellent organizational and communication skills; working knowledge of office machines; familiar with Microsoft Office, preferred.

INIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

hysical Requirements: Must be physically able to operate a variety of automated office machines including computers, typewriters, calculators, printers, copiers, etc. Must be able to exert up to 25 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for periods of time.

nguage Ability: Requires the ability to read correspondence, reports, forms, billing statements, etc. Requires the ability to prepare correspondence, deposit slips, tax forms, reports, etc., using proper format.

ntelligence: Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagrammatic form; to deal with problems involving several concrete variables in or from standardized situations.

bal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able communicate effectively and efficiently in standard English and government accounting terminology.

umerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract totals; multiply and divide; determine percentages and decimals; and to apply theories of algebra.

orm/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape.

otor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using automated office equipment.

anual Dexterity: Requires the ability to handle a variety of items, office equipment, etc. Must have minimal levels of eye/hand/foot coordination.

nterpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under minimal levels of stress.

hysical Communication: Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear). Must be able to communicate via telephone.

NOWLEDGE, SKILLS AND ABILITIES


Considerable knowledge of the operation of a computer, standard software packages and all peripheral equipment.


Ability to type accurately at a rate of speed required for this position. Ability to understand and follow oral and written instructions.


Ability to establish and maintain effective working relationships as necessitated by work assignments.


Considerable knowledge of the application of established bookkeeping and accounting principles and techniques to governmental accounting transactions.


Considerable knowledge of state, local and school system fiscal regulations, policies and procedures.


Considerable knowledge of accounting and office practices, methods and procedures used by the School System.


General knowledge of school system organization and operational policies and procedures.


Ability to organize and effectively process and maintain financial records and files, and prepare reports from them.


Ability to read and interpret various financial statements. Ability to reconcile accounts.

Ability to understand and apply laws, regulations and policies to the maintenance of financial records.


Ability to verify documents and forms for accuracy and completeness.


Ability to establish and maintain effective working relationships with other employees and the general public.


Ability to exercise independent judgment, discretion and initiative in completing assignments.
