Persad Center has been providing life-changing services to LGBTQA individuals, families, and people living with HIV/AIDS since 1972. As the second-oldest LGBTQ mental health organization in the U.S., we offer a diverse range of mental health, behavioral health, substance abuse support, education, and family services.

Mental Health Intake Manager:

The Mental Health Intake Manager is a full-time salary position and serves as the initial point of contact for all of Persad Center’s services. The position works collaboratively with the Clinical and Billing team to ensure a timely, welcoming, and constructive experience for our clients. The position assures that clients coming to Persad are provided the service(s) that they need/want and/or that they are appropriately referred to another provider or service that does match their needs. The position requires excellent organizational, written and verbal communication skills and the ability to multitask and work in a busy multi-service environment with a calm and professional demeanor. They must work competently with clients from a variety of backgrounds and be aware of, and sensitive to, cultural, ethnic and economic diversity, competent in LGBTQ care, and skilled at communicating with clients who are dealing with difficult problems and life situations.

This position reports to the Clinical Director working at our office in Lawrenceville. This is a full time (40 hour), exempt position with hours to be determined; most will range between Monday thru Friday but will include some evening and weekend hours as needed.

Essential Duties & Responsibilities

  • Respond within one business day to all calls, walk-ins, electronic requests, and all other inquiries for service or information.
  • Effectively listen to individual’s needs and assure that they feel listened to and satisfied with service coordination outcomes.
  • Remain up to date on all agency services and events to effectively direct and provide information to individuals who contact the Persad Center.
  • Develop and maintain up to date referral and resource knowledge and information to make appropriate referrals to other providers as needed.
  • Transfer individuals to appropriate internal staff or other service providers that will meet their needs.
  • Make calls to individuals to remind them of intake appts.

Screening and Assessment

  • Provide information to new clients regarding Persad services.
  • Return calls and emails regarding receiving services.
  • Maintain Waitlist
  • Call clients when a therapist becomes available to fill out the screening questions for mental health, substance abuse, domestic violence, and STI/HIV risks.
  • Collect Insurance card, Photo ID and all other pertinent information.
  • Schedule Intake with therapist credentialed in client’s insurance.
  • Seek support and back up as needed from Clinical Administrative manager and/or Clinical Director, and Systems Manager as appropriate.

Administrative and Documentation Tasks

  • Maintain in the Insync system records of requests for services, dates of assessment, status of appointment and case assignment. Provide weekly written logs (waitlist count) from excel spreadsheet
  • Complete and deliver to the billing office current insurance information of client
  • Initiate patient portal and ensure all fee agreements consent to bill and all intake paperwork are completed prior to intake assessment.
  • Determine and complete confidential releases of information for providers and referral sources so that legal and appropriate communication can occur.

Communication/Client Support

  • Demonstrate excellent communication with all levels of service delivery including Persad’s administrative staff, psychiatry, and clinical and support staff.
  • Report barriers and gaps in services that are a problem for individuals seeking services.
  • Maintain open communication with Billing and Clinical Staff regarding client scheduling and internal or external referrals.
  • Identify trends and needs not currently a part of Persad’s service array and make supervisors aware of this.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree or 4 year's equivalent administrative experience required.
  • Minimum 2 years experience intake coordination or similar required.
  • Familiarity with Medical Terminology and using an EHR system
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Appropriate FBI, PA Act 33/34 fingerprint clearances.
  • Must have access to reliable transportation, a valid Pennsylvania Driver License, and a driving record that will be supported by Persad’s liability insurance provider.

COMPENSATION:

  • Salary commensurate with experience.
