Job Summary
This position serves as the first point of contact for incoming calls and visitors and plays a key role in ensuring smooth office operations. This position is responsible for professionally managing phone communications, directing inquiries, and providing administrative support. Additionally, the role includes processing and maintaining Certificates of Insurance (COIs) to ensure compliance with company and client requirements. The ideal candidate is detail-oriented, organized, and customer-focused, with strong communication skills and the ability to multitask in a fast-paced environment. Other administrative duties may be assigned as needed to support the organization’s operations.
Job Responsibilities
- Answer and direct incoming phone calls in a courteous and professional manner.
- Assist callers by providing information or directing them to the appropriate department.
- Process and manage Certificates of Insurance (COIs), ensuring accuracy and timely distribution.
- Maintain organized records of COIs and track expiration dates for renewals.
- Assist with administrative tasks and data entry related to insurance processing.
- Perform other duties as assigned to support company operations.
Education and Experience
- High School diploma and,
- Previous office and/or receptionist experience preferred.
Knowledge, Skills, and Abilities
- Previous experience in a receptionist, administrative, or insurance-related role preferred.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask and manage priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Positive attitude and strong customer service skills.
Position Type and Expected Hours of Work
This is a full-time, hourly position with some overtime varying. Core hours will be Monday-Friday 8:30 am to 5:30 pm
