Job Overview
We are seeking a highly organized and motivated Administrative Assistant to join our dynamic team. The Administrative Assistant will play a critical role in supporting the efficient operation of our mental health agency by handling essential administrative tasks, including client information management, scheduling assessments, and ensuring the
smooth flow of office operations. This position is based at our Toledo, Ohio office location.
Key Responsibilities
1. Client Information Management:
Accurately enter and update client information into our Electronic Health Records (EHR) system.
Maintain the confidentiality and security of client records in compliance with all applicable regulations and privacy laws.
2. Scheduling Support:
Coordinate and schedule assessments and appointments with our team of Licensed Social Workers.
Ensure that appointment schedules are optimized for efficiency
and timely client care.
3. Phone and Email Communication:
Answer and direct incoming phone calls in a professional and friendly manner.
Respond to client inquiries, requests, and appointment-related queries promptly and courteously.
4. Office Supplies Management:
Monitor office supply levels and order necessary supplies in a timely manner.
Maintain an organized inventory of office supplies to support the efficient operation of the office.
Qualifications
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in administrative roles, preferably in a healthcare or mental health setting.
- Proficiency in using Electronic Health Records (EHR) software is a plus.
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to adapt to a fast-paced environment and manage multiple tasks efficiently.
