Proposal Coordinator
Mobile, AL
The Proposal Coordinator works closely with our business development personnel to facilitate the proposal response process to produce compliant, strategy-driven, and aesthetically pleasing project proposals that align with PSC brand guidelines and core values. The role is suited to a creative, deadline-driven individual with strong attention to detail and the ability to collaborate well with team members.
Responsibilities :
Analysis of Federal / State / Municipal Requests for Proposals (RFPs), Requests for Qualifications (RFQs) and other solicitations.
Developing compelling and compliant responses to RFPs, RFQs, and other solicitations.
Coordinate the proposal response process by working with team members, managing deadlines, and ensuring adherence to solicitation requirements.
Develop and maintain proposal content, keeping it up-to-date and ensuring its accuracy.
Interview company SMEs to assist in generating proposal content, including personnel resumes and company processes.
Maintain the proposal content database, including key personnel resumes, past performance write-ups, templates, corporate documents, etc.
Develop other marketing material as required, including power point presentations / slide decks, brochures, etc.
Generate graphic design content for proposals, including infographics, charts, graphs, and cover pages.
Day-to-day Activities :
Reading RFPs / RFQs / ITB documents in preparation for proposal take-off.
Creating and updating proposal storyboard templates for the various PSC business groups.
Creating and updating Action Item Logs for current and upcoming proposals.
Scheduling and leading proposal “gateway” meetings, including proposal kick-offs, black hat analyses, red team reviews, white glove reviews, etc.
Scheduling and leading inter-team proposal “pod” or “stand-up” meetings (daily or multiple times a week check-ins).
Attending business development / capture meetings for the Joint Venture and Disaster Group.
Reaching out to SMEs / other knowledgeable individuals for information needed for proposals.
Organizing proposal SharePoint files with information provided by SMEs.
Filling out and sending off for signature various proposal forms.
Creating and updating employee marketing / proposal resumes.
Reaching out to previous clients for references / questionnaires needed for proposals.
Liaising with graphic artist contractors for high level graphics.
Creating proposal graphics using Adobe, Canva, Microsoft Word, etc.
Assisting with the creation of power point presentations, 2-pagers, booklets and other marketing / business development documents.
Searching for business development opportunities for the Joint Venture and Disaster Group through government and commercial databases.
Answering questions other business development employees have / researching answers to questions about PSC past performance.
