Client Care Representative, Pet Specialists of Hawaii, Waipahu, HI

As a client care coordinator at Pet Specialists of Hawaii, you will work with a skilled, motivated and caring team. You will use your unique talents to elevate our team to a higher standard.
Each day, you will be rewarded by the work you do knowing you have assisted a client in a compassionate and knowledgeable manner and knowing you have an entire team at your back to support you.

What you’ll do:

  • Use your excellent organizational skills. You are able to simultaneously smile and greet clients as they walk in the door, answer the telephone with an unfeigned desire to help the person on the other end, document the conversation you just had with the last person on the phone, and find time for all the other tasks you had set for yourself that day. You manage to do this with humor and compassion.
  • Communicate with our clients in a confident, helpful and honest manner. You engage with the client and are able to listen to their needs and concerns. You genuinely want their interactions with us to be positive. You are proactive in making any follow-up phone calls or emails.
  • Communicate with our referring veterinary colleagues in a clear, timely, and knowledgeable manner. You navigate the systems and preferences of each referring hospital and make requests for and provide them with the necessary information to ensure that they remain an integral part of the patient’s healthcare team.
  • Manage the patient scheduling. You triage and recognize more urgent scheduling needs and route appointments in the most time efficient manner. You communicate with the veterinary technical staff and veterinarian and highlight any details regarding the patient or client that you feel are important.
  • Create and maintain the patient’s medical records in a clear, accurate and consistent manner.

You review medical records from referring hospitals and can sort through the electronic communication to recognize a piece of information or documentation that is missing and make sure it is requested and available in time for the patient visit.

  • Accept payments over the phone and in person. You understand the invoice line-items and can communicate the details to the client. You coordinate with the client, insurance and care credit providers
  • Maintain a clean, welcoming reception and waiting area. You pay attention to the clients’ and patients’ well-being and ensure that any needs are addressed.

What you can expect:

  • A work environment that prioritizes the happiness of the team. A happy team makes work feel less like work! This is especially important in the medical field, where we go above and beyond every day for the sake of our patients. Alleviating daily stressors and recognizing the unique needs of each and every team member ensure that we all want to continue in this challenging and rewarding career field.
  • Mentorship and training by skilled team members to improve the quality and breadth of your technical and leadership skills. The way we see it, the more we help each other excel, the more our team grows as a whole.
  • Thoughtful scheduling with a family-friendly commitment to work-life balance. This means that we take everyone’s situations into account when making the schedule. We want well- staffed shifts to support a sustainable clinical work-flow. The schedule is designed so that you consistently get out on time.
  • Modern medicine with state-of-the-art technology and resources to provide the best possible care. This includes making sure the broken printer is fixed or buying that additional syringe pump.
  • Continuing education opportunities geared towards helping you to achieve growth in areas that interest you with bonuses for completing certifications. You receive a CE allowance and are encouraged to use it up every year!
  • Responsive leadership who are committed to helping set and maintain a professional and friendly work place.
  • And of course all the standards: competitive wages, health, dental and vision insurance, retirement plan, PTO

What to send our way:

  • Your CV, highlighting your education, experience and skills.
  • A short summary of yourself and what you’d like your future team to know about you.

Your communications are considered confidential.
