Overview
We are seeking a detail-oriented and organized Clerk to join our team. The ideal candidate will be responsible for various administrative tasks that support the smooth operation of our office. This role requires strong communication skills and the ability to manage multiple responsibilities efficiently. The Clerk will play a vital role in ensuring that our office runs effectively and provides excellent service to our Board Members.
Duties
- Ensures recording of Board actions and deliberations, maintains minutes, reviews and signs legal documents, and discharges other duties as directed by the Board or as prescribed by the Code of Virginia, Section 22.1-7.
- Maintains minutes of all Board meetings.
- Reviews, signs, and/or notarizes all official and legal documents for the Board, including contracts, resolutions, minutes, and other documents.
- Oversees all activities related to Board meetings and work sessions, to include developing the agenda, preparing and distributing Board packets and all required information prior to the meeting.
- Gives public notice and attends all Board meetings.
- Coordinates revisions to Board policies and regulations; and, researches policy issues of interest to the Board.
- Ensures that Board meeting rooms are ready for each meeting, including obtaining all supplies and equipment required for the meeting room.
- Provides administrative support to Board members and serves as the interface between the Superintendent and individual Board members on correspondence, inquiries, and/or requests for information.
- Works with the Board Attorney, the Director of Human Resources and the Department of Pupil Personnel Services to schedule hearings as necessary and records and maintains minutes of such meetings.
- Updates VSBA member verification reports, periodically.
- Makes travel arrangements for Board members.
Skills
- Proficiency in QuickBooks is preferred for managing financial records.
- Strong organizational skills to handle multiple tasks effectively.
- Excellent customer support abilities to ensure client satisfaction.
- Experience with front desk operations is a plus, enhancing the overall office experience.
- Accurate data entry skills to maintain precise records.
- Knowledge of office management practices to contribute to efficient operations.
- Bilingual capabilities are an asset, facilitating communication with diverse clients.
Qualifications
- High School Diploma, some college preferred.
- Extensive school division-based experience or training that provides the knowledge and skills for this position.
