General Summary: The Administrative Assistant works closely with the Admin & Finance Manager to ensure that the office is running smoothly as well as kept clean & organized. You will be assisting with HR needs, as well as helping with financial tasks.
Reports to: Finance & Admin Manager
Direct Reports: None
Work with and/or Accountable to: Clients, PBI staff
Primary Role: Aiding the Finance & Admin Manager in their role of managing the Admin & Finance Department.
Key Responsibilities:
Office Management
- Pick up mail from the post office each day
- Restock snacks in the break room
- Cleaning parts of the office as needed
- Maintain the Office email
- Manage birthdays cards
- Help to oversee that the office is clean & organized
- Inventory office supplies, cleaning supplies & snack supplies & purchase supplies when needed.
- Assist in managing the staff calendar
Finance Management
- Monthly material & equipment Check Out Invoicing
- Enter Customer payments
- Monthly labor upload for invoicing approval
Employees/HR
- Involvement in the recruiting process
- Assist with onboarding & offboarding employees
- Helping to oversee that the cloud filing system stays clean and organized

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- The employee must be able to climb stairs, crawl, kneel, bend, and reach above their shoulders.
- While performing the essential functions of this job, the employee is exposed to general office environments.
Job Type: Part-time
Pay: $14.00 - $18.00 per hour
Expected hours: 20 per week
Schedule:
- 4 hour shift
- Monday to Friday
