Role
The Parts Sales Coordinator has the primary responsibility of working with customers on the phone to identify parts requirements, entering this information into the M2M system in a timely fashion, and assuring that parts orders are shipped according to customer requirements. This position will report to the Parts Manager and is located in Niles, Illinois.
Duties and Responsibilities
- Verify that the information in the customer master file is accurate when entering orders so that orders are processed through the shop correctly
- Generate proposals for parts based on phone calls or requests provided by salesmen
- Become familiar with our order entry procedure; take orders from customers and communicate the information in a well-organized format
- Will often be in contact with customers on the phone; for this reason, phone etiquette and verbal communication skills are of utmost importance
- Professionally handle customer needs and requests at all times; must follow through on any commitments that are made to the customer
- Become familiar with all aspects of M2M that affect the position including sales orders, quotes, item masters, purchase orders, shippers, pick lists, etc. If variances are found with on-hand balances or safety stock requirements, they need to be communicated to the Parts Manager and Inventory Manager
- Learn how to handle credits and returns
- Interact with other departments on a regular basis
Requirements
- Associate’s degree preferred and/or five (5) years of direct work experience without formal education
- Proficient in MS Excel, Word, and Outlook
- Ability to read mechanical and electrical blueprints preferred
- Technical aptitude
- Knowledge of refrigeration and piping/plumbing preferred
- Spanish fluent speaking preferred
- Prior experience in customer service (either face-to-face or over the phone)
- Excellent verbal and written communication skills
- Must have the ability to analyze information in complete detail
- Must have strong interpersonal skills and provide high-quality customer service
