Position Summary
The Event Coordinator is responsible for the management and administrative support of all aspects of Special Events at Lincoln Financial Field and the NovaCare Complex and is expected to collaborate with internal departments and service partners to maximize efficiencies and ensure client/guest safety and satisfaction.
Reporting Relationships
The Event Coordinator will report to the Director of Event Operations.
Position Responsibilities
- Manage & execute special events at Lincoln Financial Field & the NovaCare Practice Facility, to include:
- Generate client contacts and follow up with clients, as necessary, to ensure all contractual elements are submitted including deposits, executed contracts, certificates of insurance, and operations plans.
- Conduct event operations meetings with clients and internal staff to determine and facilitate event needs.
- Provide clients and affiliated departments with necessary pre-event and post-event correspondence.
- Coordinate preparation and design of floor plans and ensure compliance with applicable fire, building, and safety codes.
- Work with Security, Guest Services, and Facilities Managers to develop a staffing and crowd management plan to maximize ingress/egress efficiency and ensure guest safety.
- Manage the integration of contractors for events including service providers and vendors engaged by the client such as, rental companies, catering services, concessionaires, decorators, electrical services, and others.
- Compile, compose and publish event production notes detailing requirements for each event; distribute to appropriate staff, and communicate changes before and during events.
- Know and understand all facets of facility policies and procedures and manage enforcement throughout each event; when necessary, identify and resolve problems.
- Manage any public safety issues that arise during an event.
- Facilitate event settlements with Accounting department.
- Conduct post-event meetings with client and/or internal staff, as appropriate, to discuss issues and plan for future events.
- Oversee and handle all aspects of game operations for Temple University Football.
- Support Event Command Post for stadium events.
- Assist with the Lincoln Financial Field stadium tour program, including but not limited to: tour guide staff training and supervision, guest communication, and maintaining various schedules.
- Serve as member of the Stadium’s Emergency Team. May be required to serve as the Principal Emergency Coordinator and be prepared to order the evacuation of an event.
- Maintain accurate and complete files, records and other documents relating to assigned responsibilities.
- Other duties as assigned by Director of Event Operations.

Qualifications
- Bachelor’s degree required.
- 2-3 years of event planning experience, preferably within the sports/entertainment industry.
- Ability to build strong internal and external relationships.
- Strong interpersonal skills and ability to work in a team driven environment.
- Ability to handle deadlines while maintaining a focus on detail.
- Strong organizational and project management skills.
- Must be able to work events and gamedays.
- Must be able to work non-traditional hours (weekends, evenings, holidays).
