- Process and track job costs, materials tickets, and equipment hours
- Maintain organized project files including permits, contracts, and completion certificates
- Coordinate with project supervisors to track daily progress and equipment needs
- Process accounts payable/receivable, including supplier invoices and customer billing
- Manage payroll, including prevailing wage requirements when applicable
- Create and maintain Excel spreadsheets for project tracking and cost analysis
- Coordinate with Bookkeeper/CPA
- 5 years of administrative experience in the construction industry
- Proven organizational skills
- Advanced proficiency in Microsoft Office, especially Excel
- Experience with QuickBooks
- Strong attention to detail and ability to maintain accurate records
- Excellent communication skills with field personnel and management
- Ability to manage multiple priorities in a fast-paced environment
- Experience in grading, excavation and site development operations
- Understanding of construction terminology and processes
- Familiarity with equipment tracking
- Experience with construction bidding and contracts
- Strong organizational and process development skills
- Ability to create and maintain systematic filing and tracking systems
- Problem-solving and critical thinking abilities
- Self-motivated with excellent follow-through
- Ability to work effectively with field personnel and office staff
