We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and ensure the smooth operation of our office. Duties
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements using Outlook Calendar and Google Suite.
- Coordinate office operations and procedures to ensure organizational effectiveness.
- Handle incoming communications, including phone calls and emails, ensuring timely responses and appropriate routing.
- Assist in event planning and coordination for company meetings, conferences, and team-building activities.
- Conduct proofreading of documents to ensure accuracy and professionalism in all written communications.
- Maintain filing systems (both electronic and physical) to ensure easy access to important documents.
- Support office management tasks such as ordering supplies, managing vendor relationships, and overseeing maintenance requests.
- Prepare reports, presentations, and other documents as needed for executive meetings.
Qualifications
- Proven experience as an Executive Assistant or Office Manager in a professional setting.
- Proficiency in Google Suite applications (Docs, Sheets, Drive) and Microsoft Office (Word, Excel, PowerPoint).
- Strong administrative skills with a focus on calendar management and event planning.
- Excellent proofreading abilities with a keen eye for detail.
- Familiarity with phone systems and office management software is preferred.
- Exceptional organizational skills with the ability to prioritize tasks effectively.
- Strong communication skills, both verbal and written, with the ability to interact professionally with all levels of staff and clients.
- Ability to work independently as well as part of a team in a dynamic environment.
