Phipps Houses is one of the nation’s oldest and largest not-for-profit developer/owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle-income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and it’s tax-exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.
We seek an exceptional individual to join our property management team in the Bronx. This individual needs to be highly organized, can juggle many tasks at once, and is not easily overwhelmed.

Responsibilities:
- Serve as liaison between tenants and staff, providing exceptional customer service
- Maintain a professional demeanor and provide exceptional customer service to both internal and external customers
- Serves as the main contact for tenants during the day and is responsible for following up on Call Center work order request calls reported to the hotline and company email
- Follow up with tenants to ensure completed work order requests are satisfactory
- Scan and save customer correspondence, property reports, and other related documents to the company network drive
- Assist tenants with understanding ledgers and resolving rent issues
- Assist residents in setting up online rent payments through services such as Pay Your Rent and Rent Café
- Order/maintain office inventory, equipment and supplies
- Assist with annual apartment inspections.
- Provide Administrative support for Management Staff
- Organize and file documents as needed
- Prepare notices and tenant correspondence as needed
- Distribute mail daily
- Track court stipulations and related tenant payments
- Perform other related duties as assigned
Required skills and experience:
- Bilingual (Spanish) Candidate preferred
- Three (3) years of experience in office administration
- Minimum Education: High School Diploma required; Associate degree or higher preferred
- Proficiency in Microsoft Outlook, Excel, and Word and Adobe Acrobat Pro essential
- Ability to communicate effectively and clearly, both spoken and written
- Ability to analyze problems and provide options for solutions
- Ability to prioritize and manage multiple priorities in high-demand, deadline-driven environment
- Ability to build and maintain strong customer service
- Yardi - 1 Year experience preferred
Physical demands: While performing duties of the job, employee is occasionally required to stand, walk, and sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk and hear. Employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by the job include close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
