The salary range for this role is $50-55k. This is an onsite role.
We are seeking an organized and detail-oriented Accounts Payable Specialist to join our finance team. The ideal candidate will have hands-on experience with both Yardi and Oracle NetSuite accounting software, and a solid understanding of accounts payable processes. This role involves managing and processing invoices, ensuring accurate financial records, and maintaining strong vendor relationships.
The Accounts Payable Specialist will collaborate with internal departments and external vendors to ensure timely and accurate processing of payments.
Duties and Responsibilities:
Accounts Payable Function:
- Process and manage high-volume accounts payable transactions, ensuring all invoices are accurately coded, entered, and processed in a timely manner using Yardi and Oracle NetSuite.
- Review and verify invoices for appropriate documentation and approval prior to payment.
- Reconcile accounts payable ledgers and ensure accuracy of all data entered in both Yardi and Oracle NetSuite
- systems.
- Prepare and process payment runs, including checks, ACH transfers, and wire transfers.
- Assist with month-end and year-end closing procedures, including accruals and reconciliations.
- Respond to vendor inquiries regarding payment status, discrepancies, and general account information.
- Maintain accurate and up-to-date vendor records and ensure compliance with internal policies.
- Monitor cash flow and ensure that payments are processed in a way that optimizes working capital.
- Collaborate with cross-functional teams, including procurement and program leadership, to resolve any invoicing discrepancies or issues.
- Continuously identify opportunities for process improvements to streamline accounts payable functions.
- Interface with department leaders to ensure compliance, understanding and adherence with company policies and procedures;
- Ensure compliance of employee expense reports and participant stipends.
- Process weekly, biweekly and/or monthly participant stipends as required by program.
- Responsible for monthly collection of corporate credit card receipts, corporate credit card statementreconciliation and payment. Ensure bills are paid in a timely and accurate manner while adhering to departmental procedures
Audit Deliverables
- Assist management with audit deliverables and respond to monthly back-up documentation as requested fromCity, State and/or Federal funders as well as internal and external auditors.
- Assists with special projects and performs related duties as assigned.
Minimum Qualifications:
- Minimum of 60 college credits; Concentration in Accounting, Finance or Business Management preferred;
- High level of proficiency with Microsoft Office Products;
- Working knowledge of Oracle NetSuite and Yardi Voyager a plus;
- Minimum 2 years in Accounts Payable role; Non-Profit organization preferred
- Excellent attention to detail and accuracy in data entry and financial reporting.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Ability to work independently and as part of a team.
- Strong communication and interpersonal skills to collaborate with internal departments and external vendors.
- Solid understanding of general accounting principles and financial controls
Salary : $50,000 - $55,000
