Job Purpose:
The Paralegal will be responsible for managing the company’s legal administrative tasks, including contract review, corporate filings, legal research, maintaining corporate records, and coordinating with external counsel, when necessary, all while adhering to strict guidelines to avoid engaging in unauthorized practice of law; essentially acting as the company’s internal legal support system without providing legal advice. Paralegal will also perform a variety of clerical and administrative tasks outlined under Description of Essential Duties.
Description of Essential Duties:
- Paralegal
- Assist in legal issues and contracts.
- Coordinate with attorneys.
- Create professional letters to assist in managing legal matters.
- Back-up to Administrative Assistant / Front Desk
- Sit at the front desk when the Administrative Assistant is not in.
- Maintain file folder structure on server.
- Assist in executing contracts, bonds, and insurance.
- Notary Public certification to Notarize company documents.
- Assist in all office events including but not limited to preparing event signage, gathering footage of events for social media, sending out event reminders via Outlook, and helping with set up/ break down.
- Operations
- Codify and present wage adjustment forms to COO/ Executive VP.
- Expenses
- Organize and review of CC statements and expense reports (monthly and weekly) - question anomalies with staff. Track employees that turn in statements.
- Assist with completing employee expense reports – putting together, reviewing mileage and receipts, and submitting to COO/ executive VP for final review/ signature.
- Engineering
- Maintain schedule of license renewals – PE, COA, Firm, NACE.
- Manage and maintain all contractor license requirements nationwide
- Keep and update a log on all tank budgets presented from estimator to inquiring engineers.
- Project Management
- Assist the PM team with obtaining local permits, licenses, etc.
- Field
- Manage Fieldwire, field management software, uploads – PFE drawing package (and any revisions), jobsite maps, emergency contact information, etc. Create SOP on a step-by-step process for new Projects.
- Other duties as assigned.

Qualification Requirements:

- High School Diploma, General Education Degree (GED), or equivalent. Associate degree, preferred.
- Minimum of one (1) year of administrative experience.
- Previous paralegal experience is highly preferred.
- Construction industry experience preferred.
- Advanced knowledge in MS Office.
- Highly accurate and detail oriented.
- High sense of urgency, ability, and willingness to meet deadlines.
- Strives to automate processes and procedures.
- Spirit of continuous improvement and cooperation.
