Job Summary:
We are seeking a highly organized and detail-oriented Dispatch/ Office Manager to join our team. This role is responsible for overseeing financial transactions, managing accounts payable/receivable, and supporting daily operational tasks to ensure efficiency in our plumbing services. The ideal candidate will have strong accounting knowledge, excellent problem-solving skills, and the ability to coordinate logistics within a fast-paced environment.
Key Responsibilities:Accounting & Finance:
- Manage accounts payable and receivable, ensuring accurate and timely invoicing and payments.
- Reconcile bank statements, credit card transactions, and vendor accounts.
- Assist in payroll processing, employee reimbursements, and tax filings.
- Prepare financial reports, job costing analysis, and budget tracking.
- Maintain organized records of financial transactions in accounting software (e.g., QuickBooks).
- Work with external accountants for audits and tax compliance.
Operations & Administrative Support:
- Coordinate scheduling, dispatching, and workflow for plumbing technicians.
- Assist with inventory management, ensuring stock levels are maintained.
- Handle vendor and supplier communication, including ordering materials and negotiating contracts.
- Support compliance with industry regulations and company policies.
- Manage customer inquiries, contracts, and service agreements.
- Assist with project tracking, job completion documentation, and client billing.
Qualifications:
- 2 years of experience in accounting, bookkeeping, or operations support (experience in construction or plumbing industry is a plus).
- Proficiency in accounting software QuickBooks, Google and Microsoft Office Suite (Excel, Word,).
- Strong organizational and multitasking skills, with attention to detail.
- Ability to communicate effectively with technicians, vendors, and clients.
- Problem-solving skills and a proactive approach to process improvement.
