SUMMARY :
The Records Clerk verifies and maintains student records to ensure that the student cumulative folders are accurate and up to date. Inputs registration packets and updates student information in computer system. Provides general customer service at reception desk.
ESSENTIAL FUNCTIONS
- Greets and directs visitors at registration office courteously; responds to a variety of questions and requests in a timely manner. Answers multiple phone lines; transfers calls and screens calls.
- Works as a team with other registration staff to verify all required registration documents are entered into the student information system and in compliance with district and state guidelines.
- Performs general clerical functions, maintains student folder, distributes registration packs. Assists at the receptionist desk daily.
- Works in conjunction with school nurse to ensure all students are compliant with immunizations, per state guidelines and assists with reports for yearly audit of student immunizations. Inputs computerized immunization records and emergency information on all incoming students.
- Accepts and reviews incoming registration packets; verifies all necessary documents are complete; scans and files all documents into students' cumulative folder.
- Enters and maintains computerized data into student profiles to include immunization records, birth certificates, and emergency information. Transmits student information to other schools, as requested.
- Distributes letters to parents for students missing immunization records, birth certificates, or other necesarry information.
- Maintains and files information in the student cumulative folder located in the campus registration office.
- Responsible for data entry of student handbook : weapons policy, internet authorization form, directory, dress code policy, etc. into the student information system.
- Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.

REQUIRED QUALIFICATIONS
Education, Training, and Experience Guidelines :
High School diploma or GED equivalent; AND one years of clerical experience; OR an equivalent combination of education, training, and experience.
License and Certification Requirements :
Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.
