- Retrieves and prepares for transmittal of ESS student records; responds to requests from schools, the Arizona Department of Economic Security, juvenile probation and adult courts, police department, military branches, attorneys, colleges, universities, and other institutions and agencies for ESS student records or verification of information.
- Ensures that records are transmitted in compliance with the Family Education Rights and Privacy Act.
- Prepares various correspondence. Greets visitors in person and via phone; provides general customer service.
- Maintains a log or system of documenting records requests, responses, and access to confidential records at the District office.
- Creates new student files; files records; prepares and transmits ESS student records and destroys originals according to state guidelines. Prepares archive files to be destroyed.
- Maintains psychological reports and logs, as well as all reports from related services personnel.
- Back-up interpreter for general customer service interactions, and mandatory ESS meetings at the District office or on a campus, including initial placement meetings, reviews of placement, re-evaluations and annual reviews.
- Supports the relationship between the Phoenix Union High School District and the public by demonstrating courteous and professional behavior when interacting with students, parents, visitors, and school staff; maintains absolute confidentiality of work-related issues, client records, and school information; follows Governing Board Policies; performs all other related duties as required or assigned.

SUMMARY:
The ESS Records Retrieval Clerk/Interpreter processes requests for ESS student records and maintains records as required by State and Federal law; performs the duties of interpreter at mandatory ESS meetings at the District office or on campuses when the campus interpreter is unable to attend those meetings.

REQUIRED QUALIFICATIONS
Education, Training, and Experience Guidelines:
High School diploma or GED equivalent; AND two years of clerical experience; OR an equivalent combination of education, training, and experience. Experience working with special needs students and families preferred. Good command of English and Spanish languages. Experience assisting non-English speaking students and parents.
License and Certification Requirements:
A valid Arizona State Driver’s License is required.
Possess an active Arizona Department of Public Safety IVP Fingerprint Clearance Card or obtain one within the first 90 workdays of employment.
